Job Summary:

The Administrative Assistant will provide comprehensive administrative support to ensure efficient operation of the office. This position involves a wide variety of tasks including handling communications, scheduling, organizing, and coordinating office activities. The ideal candidate will be resourceful, a good problem solver, and organized.

Key Responsibilities:

- Communication Management:

- Handle incoming and outgoing communications, including emails, phone calls, and mail.

- Draft, format, and distribute correspondence, reports, and presentations.

- Scheduling and Coordination:

- Manage and maintain executive schedules, including arranging meetings, appointments, and travel arrangements.

- Coordinate and organize meetings, conferences, and events, ensuring all necessary arrangements are in place.

- Office Administration:

- Perform general office duties such as ordering supplies, managing inventory, and maintaining office equipment.

- Develop and maintain a filing system, ensuring records are accurate and up to date.

- Support Services:

- Assist with the preparation of regularly scheduled reports.

- Provide general support to visitors and clients.

- Handle requests for information and data.

- Document Management:

- Create and modify documents using Microsoft Office or other relevant software.

- Manage and update databases, ensuring data integrity and confidentiality.

- Team Collaboration:

- Work closely with other team members to support various projects and initiatives.

- Act as a point of contact between executives and employees, clients, and other external partners.

Qualifications:

- Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.

- Experience: Proven experience as an administrative assistant or in a related field.

- Skills:

- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

- Excellent time management skills and ability to multi-task and prioritize work.

- Attention to detail and problem-solving skills.

- Strong organizational and planning skills.

- Excellent written and verbal communication skills.

- Ability to work independently and as part of a team.
