PROJECT ADMINISTRATOR

United Construction Company is currently seeking a Project Administrator to be responsible for the processing of projected related paperwork as required and directed by the Project Manager(s).

The ideal candidate will have:

  • A minimum of 3 years’ experience in a project administration role within a commercial construction company preferred.
  • Possession of or ability to obtain a valid driver’s license.

Location: Reno, NV

Job Type: Full-time

DUTIES AND RESPONSIBILITIES:

Contract Responsibility

  • Submittals/Shop Drawings/Samples
  • Track all required submittals/shop drawings from subcontractors/vendors in accordance with the company’s’ policies and procedures.
  • Keep log current.
  • File all documents according to the company’s’ policies and procedures.

RFI’s

  • Enter all RFI’s into the project management software in accordance with the company’s’ policies and procedures.
  • Distribute to the Project Manager and Superintendent for technical review and/or answer.
  • If required, forward to Architect/Engineer for answer.
  • Track all RFI’s to ensure timely response and distribute as required and in accordance with the company’s’ policies and procedures

Subcontracts/Purchase Orders

  • Prepare contracts, purchase orders and subcontract change orders directed by the Project Manager
  • Track issuance and return from Subcontractors/Vendors.
  • Track insurance certificates, licensing, etc.
  • Keep the Project Manager informed of outstanding subcontracts or insurance/licensing issues on a weekly basis.
  • Provide all required notices, reports, services, etc. in a timely and accurate manner.

RCO’s/PCO’s

  • Prepare RCO/PCO as requested by the Project Manager and distribute as required.
  • Track issuance and return from Owners, Subcontractors and Vendors.
  • Track and update the project management software when RCO’s and change orders are returned and distribute as required.
  • Maintain files for easy access.

Project Meetings

  • Assist the Project Manager and Superintendent in setting up weekly Owner and Subcontractor meetings and assisting in the creating and updating of meeting minutes.
  • Assist in assembling and distributing weekly meeting minutes and 3-week schedules prepared by the Project Manager and Superintendent.
  • Record and prepare meeting minutes as requested.

Certified Payroll

  • Collect, verify and submit certified payroll for the project, if required.

Project Documentation

  • Distribute updated schedules to Owners and Subcontractors along with any general notices to Subcontractors.
  • Keep the Project filing up to date and maintain all project folders and binders in accordance with the company’s policies and procedures.
  • Distribute plans, specifications and clarifications as directed by the Project Manager and maintain a drawing and distribution log in the project management software.
  • If requested make copies of and distribute to the jobsite all copies of Subcontracts, Purchase Orders, RFI’s Submittals, Shop Drawings, etc.
  • Make copies of and distribute to the jobsite all testing and inspection reports.

Communications

  • Provide close communication and interaction with all internal personnel/groups, 3rd party architectural and engineering consultants, governmental agencies, material vendors, subcontractors and customers.

Financial Management

  • Adhere to all accounting procedures.
  • Process commitments to subcontractors and suppliers and ensures all materials are procured and delivered to the site in compliance with the construction schedule.
  • Prepare, monitor, process and control all owner and subcontractor change orders and change order requests.
  • Monitor subcontract status report and effect timely execution of documents included timely submission of subcontractor and vendor insurance requirements.
  • Ability to work with job cost and Work In Progress (WIP) accounting methods.

Reporting

  • Prepare reports as required by the Owner agreement or the company policies and procedures.

Close Out

  • Commence close-out procedure in accordance with the contract documents and in compliance with procedures outlined in the company policies and procedure manual.
  • Solicit and track the receipt of Subcontractor/Vendor warranties and O&M manuals required for the close out books.
  • Assemble closeout documents for the PM review. Once complete, distribute as required and file.

GENERAL REQUIREMENTS:

Language Skills

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

Mathematical Skills

  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Legal Skills

  • Understanding of construction law, State Statutes and other Federal, State and Local regulations, ability to read and interpret legal documents, contracts and familiarity with insurance laws and policies.

Computer Skills

  • Working knowledge of Microsoft Office software, including: Outlook, Word, Excel and PowerPoint.
  • Working knowledge of Procore and Sage preferred.
  • Ability to learn and effectively operate other types of software.
