Role

We are seeking a highly organized and proactive Executive Assistant to join our team. The Executive Assistant is responsible for the administrative matters of senior executives. Our ideal candidate possesses strong organizational skills, pay close attention to detail and reporting accuracy, all while having passion for administrative excellence/efficiency. Must have a commitment to ensuring a high-quality work product, while being flexible, approachable and take initiative to get things done with minimal guidance. Responsibilities

  • Maintain complex and detailed calendars using Google Calendar and Microsoft 365, coordinating with multiple people as necessary to resolve conflicts
  • Arrange domestic travel per the company’s policy including detailed itineraries and other key travel documents including flights, hotel and car reservations and prepare itineraries
  • Prepare travel and expense reports for approval and submission, ensuring compliance with company policies and reconciling reports to statements
  • Handle confidential records of the Company and sensitive information with the utmost discretion
  • Manage logistics and coordination of meetings
  • Perform ad hoc projects, as requested
  • Handle regular and recurring activities without prompting, advise in advance of issues or delays
  • Manage office supplies, monitor inventory and equipment, and place service requests for service repairs
  • Ensure office environment is maintained in a professional and clean manner
  • Plan and administer all events for the executive team
  • Support multiple and concurrent activities, providing administrative guidance and support to a variety of activities and projects
  • Additional duties as assigned

Requirements and Skills

  • 5 Years of Experience in Office Administration and Executive Support
  • Bachelor’s Degree in Business Administration a plus
  • Ability to work mainly at the work site
  • Demonstrated experience anticipating the needs of executive level staff and ensuring priorities and logistics are met
  • Professional demeanor and flexibility to manage diverse responsibilities and multiple tasks in a fast-paced environment ensuring a high degree of organization and attention to detail
  • Proven management leadership skills, while taking a hands-on approach when needed
  • Sound judgment, maturity, and the ability to handle sensitive information with discretion and poise
  • Exceptional verbal communication skills with the ability to exercise a high degree of diplomacy, collaboration and problem solving
  • Excellent written and presentation skills
  • Strong knowledge of office procedures with experience in change management a plus
  • Solid computer skills with experience in Microsoft Suite, Google Workplace, Salesforce Microsoft Dynamics Great Plains, Doc-Link, Adobe
  • Must be flexible with work schedule, occasional weekends and after-hours are required
