SUMMARY

The Office Manager ensures a highly organized and efficient day-to-day business operation, supporting fast-paced business demands while maintaining exceptional internal and external customer service.


ESSENTIAL DUTIES & RESPONSIBILITIES

Office Management:

  • Oversee and manage the maintenance of office equipment and supply inventory.
  • Conduct walkthroughs to ensure office and meeting rooms are organized, presentable, and secure.

Vendor Management:

  • Evaluate and maintain supply vendors for quality, price, and service deliverables through cost-effective procurement for both Florida and Kansas offices.
  • Manage phone and internet vendors to ensure no service delays and troubleshoot system issues.

IT Coordination:

  • Coordinate with external IT contractors to procure hardware and software.
  • Maintain ongoing IT project work tickets and ensure timely resolution.

Employee Onboarding/Offboarding:

  • Assist the Recruiting department with onboarding and offboarding employees, including equipment setup.
  • Oversee the seating chart and facilitate internal moves, ensuring all employees are well-equipped and have a smooth experience.

Office Moves:

  • Organize, communicate, and execute large-scale moves between offices from end-to-end.

Process Improvement:

  • Strive for continuous process improvement and work independently on multiple projects.
  • Maintain, identify, and communicate office policies and procedures with a sense of urgency and critical thinking.

Miscellaneous:

  • Perform other duties as necessary with strong attention to detail.


EDUCATION & TRAINING REQUIREMENTS

  • Associates or bachelors degree preferred; or equivalent work experience.
  • 3-5 years of previous applicable experience in administrative office management and/or project management.


OTHER QUALIFICATIONS

  • Strong understanding of technology with the ability to test and troubleshoot.
  • Proficient with Microsoft Word and Excel.
  • Ability to multitask in a fast-paced environment while maintaining quality performance.
  • Problem-solving: Identifies and resolves problems in a timely manner.
  • Customer service: Manages difficult client/customer situations, responds promptly to internal customer needs, solicits feedback to improve service, responds to requests for service and assistance, and meets commitments.
  • Planning/organizing: Prioritizes and plans work activities and uses time efficiently.
  • Quality control/attention to detail: Demonstrates accuracy and thoroughness; monitors own work to ensure quality and applies feedback to improve performance.

PHYSICAL EFFORT & WORKING CONDITIONS

Additional tasks include:

  • Coffee and Inventory: Managed every Thursday.
  • Necco Deliveries: Managed every Tuesday and Friday, including providing guest passes.
  • Shred It: Managed every Thursday, including providing guest passes and showing new drivers around.
  • UPS Pickup: Standing daily pickup between 3:30-4:00 PM.
  • Zoom Management: Backup support as needed.
