This is a remote position.

Join us as a Full-Time Office Manager with an annual salary range of $65,000 to $72,000 annually. You'll play a pivotal role with non-supervisory responsibilities, directly reporting to the CEO. Be prepared for some adventure with occasional travel (5% annually) to events.

As we continue to shape the future of delivery logistics, we’re looking for a talented Office Manager. Are you ready to jump into the driver’s seat and turbo-charge our business administration strategies to new heights?

In this role, you’ll handle a variety of general administrative responsibilities, including making QuickBooks entries, coordinating computer purchases, maintaining and updating the employee handbook and policies, and ensuring compliance with E-Verify requirements. You’ll also manage HR-related tasks such as the hiring process, overseeing terminations and disciplinary actions, administering benefits, managing leaves of absence and benefits reconciliation, and conducting new employee orientations.

WHO YOU ARE
As a dynamic and experienced Office Manager, you will play a pivotal role in ensuring seamless administrative support and efficient operations across our fully remote workforce. Your contributions will be crucial in enhancing productivity, maintaining a high level of employee satisfaction, and supporting the overall success of our business.

In this strategic role, you will align business objectives with the needs of employees and management, serving as a consultant to leadership on office-related issues. Acting as both an employee champion and change agent, you will assess and anticipate office-related needs, developing integrated solutions that deliver value-added services to management and employees. Your ability to form partnerships across the administrative function will be key in reflecting and advancing the business objectives of the organization.

HOW YOU’LL CONTRIBUTE
  • Work closely with leadership to understand business strategy and provide administrative insights and recommendations.
  • Create and alter policies and practices that align with the company's strategic goals.
  • Provide timely and effective administrative support to remote employees.
  • Manage scheduling and coordination of virtual meetings and events.
  • Handle correspondence and maintain regular communication to keep the remote team connected and informed.
  • Streamline processes to enhance operational efficiency and resolve bottlenecks.
  • Develop and implement remote work policies and procedures.
  • Ensure all remote employees have access to the necessary technology and support.
  • Oversee the distribution and maintenance of remote work tools and software.
  • Coordinate with IT support to resolve technical issues.
  • Foster a strong sense of community and engagement among remote employees.
  • Organize virtual team-building activities and social events.
  • Ensure smooth onboarding processes, including coordinating training, setup, and offboarding procedures.
  • Efficiently manage resources to support remote operations.
  • Maintain an inventory of remote work equipment and supplies.
  • Ensure timely procurement and distribution of resources.
  • Ensure compliance with legal regulations and maintain data security for remote operations.
  • Implement and monitor compliance with remote work policies.
  • Utilize data to drive continuous improvement in company processes.

MUST HAVES
  • Minimum of 3 years of experience in an administrative role.
  • Strong knowledge of best practices, employment laws, and regulations.
  • Excellent interpersonal and communication skills, with the ability to build relationships and influence at all levels of the organization.
  • Proven problem-solving and conflict-resolution skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong organizational and technical proficiency with the ability to learn new systems and tools quickly.
  • Proficiency with Rippling, QuickBooks, Zoho, Google Suite, Excel, Word, and PowerPoint.
  • Experience in managing remote teams and supporting remote operations.

NICE TO HAVES
  • Familiarity with office management systems and procedures in a remote setting.
  • Experience with managing virtual meetings, events, and team-building activities.
  • Bachelor’s degree in Business Administration or a related field.
  • Completion of an Office Management Certificate Program such as the Administrative Office Management Certificate or Certified Office Manager (COM).
