Strategic Insight, Ltd. is seeking a Front Office Navy Correspondence Analyst, (Staff Associate) to support our NAVY client.  The successful candidate will possess a solid background in executive level administrative support for NAVY or DoD leadership. Location is the Washington, DC, Navy Yard.

Mandatory Requirement:  Applicants selected will be subject to a security investigation and may need to meet eligibility requirements for access to classified information; Secret clearance is required.

Responsibilities include but are not limited to:

  • Report to IWS senior office leadership and support them as needed,
  • Manage the command’s internal tasker management and tracker system,
  • Process taskers and manage Front Office correspondence for signature through automated workflow. Collect taskers from ETMS2, transfer to tracker, assign taskers, report responses, and close out taskers,
  • Prepare, review, and/or edit varied types of official Navy correspondence for accuracy and correct formatting. This can include civilian and military awards, Letters of Appreciation, Memoranda of Understanding, Memoranda of Agreement, instructions, standard operating procedures, and others as required. Route and track them for approval,
  • Maintain and update command rosters, muster list, and phone tree,
  • Maintain the Front Office SharePoint Online site with key administrative information,
  • Update the daily events calendar,
  • Support preparations for fire and active shooter drills,
  • Book meetings and rooms for training using Archibus,
  • Use PDQ request to mail correspondence through FedEx,
  • Assist in classified document control and safe inventory,
  • Attended command-wide and Front Office meetings, and
  • Other duties as assigned.

Success for working in this position looks like:

  • Experience with formatting and proofing official DoN correspondences,
  • Former Navy military member, or government/contractor administrative professional with expertise in ETMS2, DON TRACKER, Navy Correspondence, and digital tools such as Teams, SharePoint, OneDrive, and Planner, Jira.
  • Prior work experience at NAVSEA and knowledge of the NAVSEA organization, policies, procedures, command structure and culture, highly desired,
  • Strong technical analytical skills and experience are highly recommended to manage and process taskers and actions assigned to PEO IWS. In depth knowledge of the Department of Navy organization and roles and responsibilities,
  • Excellent writing skills and ability to draft and prepare tasking instructions and emails for the IWS Operations Director to review and promulgate to IWS program offices and staff,
  • Forward-leaning administrative professional with technical skills to collaborate with the IWS Operations Director and assist with problem solving and developing strategies and digital tools to train and enable the IWS administrative workforce to understand PEO IWS policies, procedures, and priorities, to better achieve success in supporting the PEO IWS organization and mission,
  • Ability to use sound and independent judgment
  • Process-improvement mindset is strongly desired,
  • Excellent organizational skills, ability to prioritize and coordinate multiple tasks, complex assignments and excel in a fast-paced environment,
  • Customer-service oriented,
  • Attention to detail and accuracy in completing assignments,

Education:

• High school diploma.
