Job Summary   

UnCruise Adventures is seeking an organized and detail-oriented Engineering Administrative Coordinator to support our engineering team. This role is critical in ensuring the smooth administrative operation of hiring onboard engineers, managing inventory and requisitions related to equipment maintenance, coding and reconciling invoices and purchase orders, and maintaining detailed maintenance and repair records. The ideal candidate will actively participate in budget worklists during the off-season, attend US Coast Guard inspections, and contribute to recruitment, placement, and scheduling for onboard engineers. Familiarity with our Safety Management System and a proactive approach to tracking vessel Non-Conformity reports and Equipment Deficiencies is essential. 

Essential Duties   

1. Hiring and Crew Rotation: 

  • Oversee the administrative portion of hiring all onboard engineers, including EAF (Employee Action Form) management, pre-employment tracking, and crew rotation schedule maintenance. 
  • Participate in recruitment, placement, and scheduling for onboard engineers. 
2. Inventory and Requisitions: 
  • Oversee inventory and requisitions related to equipment maintenance. 

  • Ensure timely and accurate coding and reconciliation of invoices and purchase orders. 

  • Code and reconcile company credit cards for engineers. 

3. Maintenance and Repair Records: 

  • Track and maintain maintenance and repair records for each vessel. 

  • Actively participate in the audit and upkeep of budget worklists while ships are in the off-season. 

4. Compliance and Safety: 

  • Attend all vessels' US Coast Guard inspections to ensure compliance. 

  • Maintain familiarity with all duties under the company Safety Management System, including Emergency Response Activities. 

  • Follow and track all vessel Non-Conformity reports and Equipment Deficiencies. 

Qualifications 

To perform this position successfully an individual must be comfortable performing each of the essential functions effectively and consistently. Below are the requirements and skills required.   • Proven experience in administrative coordination, preferably within the maritime or engineering sectors. 

  • Familiarity with Safety Management Systems 

  • Work well under pressure, while remaining highly organized, professional, and resourceful 

  • Ability to communicate clearly and succinctly using verbal and written means 

  • Outstanding organizational skills including time management and meeting deadlines 

  • Ability to manage multiple tasks and prioritize effectively 

  • Proficient user of computer systems, with the ability to utilize MS software applications in a Windows environment, and learn other software applications quickly 

Physical Demands / Work Environment 

  • Typical office environment. Position may require bending, climbing, reaching, repetitive motion, and lifting. 

  • Occasional work on board vessels locally or potentially in remote locations. May require climbing a gangway or ladder and navigating a vessel under construction. 

Work Schedule  

This is a 40 hour a work week job with rotating weekend work required depending on vessel turn around day and schedule. 

The Engineering Admin role is a mainly remote position that requires 10-14 weeks of work per year between Seattle, Alaska, and onboard your assigned vessels.
