POSITION SUMMARY

The Billing Specialist is responsible for managing and facilitating the billing processes to ensure accuracy, efficiency, and compliance with customer contracts. This role requires meticulous attention to detail, proficiency in handling diverse billing cycles, and effective collaboration with various departments. The Billing Specialist collaborates closely with CSR and operations teams to guarantee the completeness of billing, manages daily uploads of invoices into the accounting system, and processes payments while ensuring timely and accurate reporting. Key responsibilities include auditing invoices, maintaining accurate customer contract information, overseeing project billing, assisting with receivables collection, and ensuring invoices are accurately integrated into the accounting system. The Billing Specialist reports directly to the Billing & AR Manager.

ESSENTIAL FUNCTIONS

  • Initiate billing run per customer contractual requirements.
  • Weekly, bi-monthly, monthly, etc.
  • Excel, Manual Billing, Back-up Preparation
  • Portal Billing
  • Audit customer invoice accuracy using various audit/compliance reports.
  • Maintain customer contract changes pertaining to billing.
  • Manage billing process by working with CSR/operations to ensure accuracy and completeness.
  • Daily upload of invoices into accounting system
  • Daily processing of payments, ensuring timely and accurate reporting.
  • Inputting credits and debits into the accounting system, supporting receivables.
  • Maintaining comprehensive reports on Accounts Receivable and general ledger entries.
  • Assisting in monthly and yearly closing billing processes.
  • Efficiently manage, review, process, and resolve disputes in a timely manner.
  • Actively assist in the collection of receivables as directed by the Billing & AR Manager.

SECURITY

  • Complies with all company inventory control and security procedures.

SAFETY

  • Complies with all government and company safety rules.
  • Reports safety issues promptly to management.

EQUIPMENT USED

  • Computer with various accounting systems to include ERP System, Warehouse Management System, and Microsoft Productivity Software.


Requirements:

EDUCATION AND/OR EXPERIENCE

To perform this job successfully, an individual must have the following education and/or experience.

  • High School Diploma / GED required; college preferred.
  • 3-5 years relevant work experience or equivalent of education / work experience.

  • Ability to effectively communicate in English – both verbally and in writing.

  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Knowledge of basic computer use including Word and Excel.
  • Exposure to automated accounting systems.
