The Administrative Assistant will provide support of a general nature to Central Administrative staff and the Tribal Council in specific office or program issues. Assist Tribal Council and Central Administration with general skills, such as, filing, typing, travel arrangements, scheduling, etc. Must be able to assume administrative tasks upon assignment by respective Council members or administrator. Work with Central Administrative staff in completion of assignments; and performs related work as assigned.

ESSENTIAL DUTIES and/or RESPONSIBILITIES include the following.

  • Filing or data processing; operate photocopiers, facsimile machines, or other office equipment; prepare mailings; proofread copy; and answer telephones and deliver messages.
  • Greet customers and other visitors, determine their needs, and either assist them or refer the individuals to the person or department that can assist them.
  • Performs administrative activities, projects and assignments upon request. Performs work assignments with minimum delay and optimum efficiency and accuracy.
  • Arranges meetings, conferences and travel for Tribal Council and administration as requested to insure the appropriate selection of time, location, agenda and attendance also assists with the preparation of transportation and lodging reservations and travel vouchers.
  • Greets and screens visitors and callers to determine the nature and purpose of the call either handles or refers the request to the appropriate office/staff. Try to resolve customer complaints. Assist the public with requests for information and telephone assistance. Monitors all outgoing calls accessed by the public.
  • Compose correspondence as requested by Administration and Tribal Council. Responsible for submitting reports as requested. Ability to research and develop position summaries for Council members and administrative staff.
  • Maintaining individual files for Tribal Council members and administrative files.
  • Taking minutes at Council meetings and when accompanying Council members on travel.
  • Prepare resolutions for Tribal Council action as required.
  • Must maintain complete confidentiality.
  • Other duties may be assigned.

CERTIFICATES, LICENCES AND REGISTRATION:

  • Must have a valid Nebraska Driver's license and be insurable.
  • Must be able to travel.

EDUCATION and/or EXPERIENCE / ABILITIES:

  • Prefer AA Degree in Business/Secretarial Science or related field. Minimum degree requirement of post high school coursework or training in: Office management practices, secretarial support functions, social/behavioral sciences, or management/administration OR
  • Experience in secretarial or general office work with responsibility for developing and implementing office support methods and procedures.

KNOWLEDGE, SKILLS, and ABILITIES:

  • Collect, assemble and analyze facts and draw conclusions to recommend solutions to problems; identify and interpret policies and regulations to provide guidance and advice; organize and present facts and opinions orally and in writing.
  • Interact with supervisors, employees and the public to gain their cooperation and to establish working relationships; formulate and recommend modifications to operational directives to attain Tribal goals; coordinate the activities necessary to arrange meetings, conferences and hearings.
  • Other required skills include computer experience and data processing.
  • Must have excellent verbal and written skills.
