Job Description
The Office Manager reports to and works closely with the chaplain (director), assisting in
coordinating the daily operations of the Catholic Center with respect to the building and the
people. This position exercises considerable independent judgment and initiative in the
performance of day-to-day duties. Primary responsibilities and relationships with others in the
organization are outlined below.

This position is at Tulane Catholic, the Catholic Campus Ministry (Newman Center) for Tulane
University. Tulane University is a secular private institution, not a Catholic university. Tulane
Catholic is a ministry of the Archdiocese of New Orleans, operated independently of Tulane
University; Tulane Catholic employees are employees of the Archdiocese of New Orleans.

All Catholic Center resources and on-the-job time are to be dedicated to accomplishing the mission
of the Catholic Center. Office hours are from 9 am until 5 pm, Monday through Friday. One hour is
allotted for a lunch break. Vacation time, holidays, and sick days are taken according to
archdiocesan policy.

Duties and Responsibilities
1. Reflect and embody the mission of the Catholic Center and abide by the policies and
procedures of the Archdiocese of New Orleans and Tulane Catholic.
2. Manage internal financial records of Tulane Catholic, for example, updating Bloomerang,
Excel budget sheets. Deliver all deposits and disbursement requests to the appropriate party
weekly. Keep a record of all disbursement requests (expenses) and gifts received (revenue).
3. Manage building maintenance and access to the building through electronic door control
scheduling. Assign key fobs to recipients approved by the chaplain. Coordinate with the maintenance
man on all updates and repairs.
4. Train, manage and supervise all student employees (receptionists, building monitors, Sunday
night supper cooks, interns, sacristan, and volunteers). Ensure that student employees are present
and fulfill their duties. Be ready to step in when student employees are not present.
5. Serve as a member of the Ministry Leadership Team by attending weekly leadership team
meetings. Have a weekly one-on-one meeting with the chaplain.
6. Maintain contacts with the Archdiocese of New Orleans (including accounting and HR) and
Tulane University offices (including university scheduling, student affairs, accounting, and the
office of multicultural affairs).
7. Order and manage all office, building, event, and sacristy supplies coordinating with the
staff, maintenance, Sunday night supper cooks, sacristan, and chaplain.
8. Receive requests for use of all building spaces. Schedule and maintain an accurate record
of all meetings in the building (location, time, party responsible, purpose, and details of event)
and post them to the calendar. Resolve time and location conflicts or refer them to the chaplain
if necessary.
9. Send and receive all postage mail and general emails and promptly deliver them to the
appropriate party.
10. Work alongside the Director of Development to send out all development mailings.
11. Maintain office and public calendars as well as Basecamp, our online collaboration app.
12. Update and maintain Tulane Catholic's website and Play Digital Signage.
13. Document (re: maintain sign-out sheets) and maintain custody of all center assets, equipment,
and
procurement cards (e.g., digital projector, camera, store membership cards).

14. Maintain accurate, updated, and organized records for the operations of Tulane Catholic
(e.g., contracts,
warranties, historical records, ministerial and development publications, purchases, and
expenses).
15. Receive requests for Mass intentions, record and schedule them according to archdiocesan
policy, and inform the priest celebrant of the intention for each Mass.
16. Coordinate and carry out events (in collaboration with the Director of Development, Ministry
Leadership Team, volunteer committees, and student leaders).
17. Occasionally work weekend and evening hours. Regular attendance at weekday and Sunday Masses
at the Catholic Center is encouraged.
18. Other duties that are not explicitly mentioned in this job description may be temporarily or
permanently assigned based on the needs of Tulane Catholic.

Qualifications
