Position Overview Receivable

We are seeking a highly organized and detail-oriented Billing Specialist to join our team at John McCarter Construction Company. As a Billing Specialist, you will play a pivotal role in supporting the efficient operation of our company. The primary focus of this position is to manage the billing and collections for all projects. This role encompasses a wide range of responsibilities, including data analysis, customer support, and administrative tasks. The successful candidate will have excellent analytical skills, a strong ability to multitask, and a passion for working as a team to contribute to our construction company's continued growth and success.


Responsibilities:

  • Prepare Customer Invoices: Generate accurate and timely customer invoices based on project specifications and agreements. Ensure invoices comply with company standards and customer expectations.
  • Collect and Receive Customer Payments: Facilitate the collection of customer payments online and over the phone. Provide exceptional customer service while addressing payment-related inquiries and concerns. Maintain accurate records of payment transactions.
  • Contact Customers Throughout the Project: Maintain regular communication with customers throughout the project to ensure satisfaction and collect payments in accordance with payment schedule. Maintain detailed records of customer accounts, including changes to project scope, change orders, and credits. Update project files, CRM system and financial system to reflect any modifications.
  • Answer the Phone. Professionally handle incoming calls from customers, suppliers, and team members during designated hours of the day and direct calls as needed. Sell service projects directly to customers over the phone.
  • Solicit Feedback from Customers. Contact customers after project completion to directly ask for company reviews.
  • Assist Sales and Production Teams. Work jointly with Sales and Production staff to follow-up with customers. Clearly communicate with colleagues and customers about responsibilities and timelines to address issues that arise.
  • Manage Marketing Materials. Work jointly with the Controller to develop featured projects, Facebook posts and other marketing materials.
  • Prepare Reports. As needed, generate periodic reports on company performance.
  • Assist in Coordinating Building Permits: This position serves as back-up for the person responsible for managing the building permit application process from start to project completion.
  • Assist in Reviewing Sold Projects for Accuracy: This position serves as back-up for the person responsible for carefully reviewing project details to ensure accuracy in project specifications, pricing, and customer requirements. Collaborate with sales and project management teams to resolve any discrepancies or issues.

Qualifications:

  • Ability to report to work in-person at our South Lyon Office at 7:00am Monday through Friday.
  • Understanding of basic accounting principles.
  • Proficiency with QuickBooks (Online or Desktop).
  • Strong attention to detail and analytical skills.
  • Excellent organizational and time-management abilities.
  • Effective communication skills, both written and verbal.
  • Proficiency in using computer software and applications, including Microsoft Excel and other Office Suite programs.
