Operations Coordinator, Member Services

PURPOSE


The Member Services Operations team is a dedicated unit designed to provide day-to-day operational support to Membership, Education, Research and Councils department’s array of programs and initiatives.

Serve the Membership, Education, Market Research and Councils teams to deliver programs and services. Ensure project and program toolkits are created and maintained for initiatives. Responsible for establishing timelines and milestones for projects with association support departments (Marketing, Events, and IT).

RESPONSIBILITIES AND AUTHORITY

  1. Be knowledgeable on all member benefits, programs and services offered by the association.
  2. Work along-side Operations Director, Councils & Networks to establish processes and project plans to ensure milestones and deadlines are being met.
  3. Collaborate with stakeholder departments & Association Support Departments.
    1. Schedule kick-off meetings with appropriate stakeholders and association support departments.
    2. Work with the Marketing and PR teams to ensure marketing plans are established according to program goals and timelines.
    3. Work with Events and IT teams to determine program runways and milestone alignment as needed by program/event.
    4. As needed work with additional departments to build timelines.
  4. Coordinate project and program plans related to the stakeholder projects.
    1. Consolidate sub-department milestones and timelines into a centralized project plan.
    2. Utilize project management system to build, assign and track project status.
    3. Provide stakeholders, support department and Operations Director project updates.
    4. Maintain stakeholder calendar of events.
  5. Build post-program dashboards and wrap-up documents.
    1. As needed, provide tracking data related to marketing metrics.
    2. As needed, build and deploy post-event surveys.
    3. Upon the conclusion of the event or program, collect stakeholder feedback and documentation for analysis.
    4. Facilitate post-program debriefs.
    5. Work with Operations Director to establish new processes relating to programs for future programs.
  6. Support the department and association outreach efforts at events/shows, as needed.
  7. Assist in stakeholder in-person event setup and staffing as needed.
  8. Assist in answering the main association customer service phone line and as requested, assist with SEMA front desk coverage.
  9. As requested, provide administrative support.

SKILLS AND KNOWLEDGE PREFERRED

  1. Team player who is willing to embrace new ideas and demonstrate an ability to change and grow as required by the position.
  2. 4-year college degree with a strong background in communications or event production preferred.
  3. Knowledge of project management programs and systems.
  4. Demonstrated proficiency in all Microsoft Office software and strong willingness to learn new software programs is required.
  5. Process all external and internal requests within provided deadlines during weekdays.
  6. Skilled communicator with strong organizational abilities.
  7. Travel requirements up to 10%.

Salary Range: This position's estimated hourly rate of pay is $23.00-$25.80. Actual base salary will be dependent on individual’s skills, qualifications, and experience. This role is eligible for 401k Savings plan, Healthcare (medical, dental and vision), and other generous rewards.
