Job Summary

We are seeking a highly skilled and experienced Import Coordinator to join our team. The successful candidate will be responsible for handling ocean and air import shipments, completing and creating arrival notices, and tracking and tracing shipments.

Key Responsibilities
  1. Handle ocean and air import shipments, ensuring timely and efficient delivery.
  2. Complete and create arrival notices, uploading them into our system.
  3. Prepare and distribute completed arrival notices in a timely manner.
  4. Track and trace shipments, keeping clients informed of any changes.
  5. Respond to client inquiries, capable of handling A-Z, including ISF filing, customs clearance, and delivery.
  6. Verify OBL and payment requirements prior to freight release.
  7. Monitor import shipments from origin to final destination, ensuring prompt delivery and avoiding delays, storage, demurrage, and unnecessary charges.
  8. Ensure affirmative action is taken when responding to US customs issues and other government agencies.
  9. Maintain documentation and records according to established company protocol.
  10. Communicate with truckers and warehouses to schedule delivery appointments.
  11. Read, monitor, and respond promptly to all incoming correspondence to manage daily operation issues.
  12. Process accounts receivable and payable, verifying D/C note accuracy.
  13. Optimize internal systems and procedures to exceed client expectations and enhance team efficiency.
  14. Constantly improve business operations and communication between overseas and US offices to increase company productivity.
Requirements
  1. Bilingual Mandarin is highly preferred for efficient communication with overseas offices.
  2. Associate degree or above, with certification or diploma in a related field preferred.
  3. Minimum two years of experience in a similar role with an international freight forwarding organization.
  4. Experience in ocean transport and knowledge of terminal procedures required.
  5. Experience in air freight and knowledge of airline recovery procedures required.
  6. Experience in LCL and knowledge of CFS procedures required.
  7. Experience in transloading and knowledge of FTL and LTL services required.
  8. Excellent communication skills and customer service orientation.
  9. Ability to manage and coordinate multiple projects in a fast-paced environment.
  10. Strong organizational and computer skills, with knowledge of Microsoft Office (Outlook, Word, Excel, Teams).
  11. Strong time management, able to meet multiple daily deadlines and work under pressure.
  12. Able to work 100% on site.
