POSITION: ELRC Administrative Support Specialist

RESPONSIBLE TO: ELRC Director of Provider Operations/Finance

The agency is currently accepting applications for a full-time Administrative Support Specialist located in Butler County. The position will support the Early Learning Resource Center Region 3 (ELRC 3) program involving client in-takes, resource and referral, childcare provider functions, and general office operations. You will work in collaboration with ELRC leadership to provide support for the office operations and the clients and providers we serve. Special projects will be assigned by your supervisor and be an on-going part of this position.


Applicants must have a basic knowledge of Microsoft Office Applications such as Word, TEAMS, Outlook, and Excel. General experience working with office equipment and phone systems is essential. This position requires multitasking, excellent data entry, organization, and communication skills as well as being comfortable working with the public. The candidate must be detail oriented and have the ability to follow multi-step instructions to perform daily tasks.


Applicants should enjoy helping others and working as part of a team in a casual and friendly office environment.


Essential Functions:

  • Ability to multitask while performing general office duties to support the ELRC operations including scanning, phone calls, coping, faxing, filing, and mailing
  • Answers doorbell and greets ELRC visitors in a positive and professional manner.
  • Answering phones and directing calls to appropriate staff in a positive and professional manner.
  • Perform detailed intake processes for clients, providers, and the general public.
  • Reviews incoming faxes, e-mails and voice messages then forwards to appropriate staff members.
  • Scanning and filing paperwork daily.
  • Assemble folders as needed for new client files and maintain adequate supply levels.
  • Assemble informational packets and materials that are mandated to be given to clients and maintain a sufficient supply.
  • Responsible for continual research of new services being offered and updating resource and referral services in the ELRC Region.
  • Maintains ELRC 3 regional resource library in both electronic and paper forms.
  • Tracks and tallies data for monthly reporting purposes for the ELRC.
  • Provides resource and referral services for incoming callers, clients and general public.
  • Assist in office purchase process for supplies/equipment for the ELRC program.
  • Responsible for coordinating supply/equipment deliveries to ELRC office or staff locations as assigned.
  • Responsible for the distribution, stocking, and storage of supplies/equipment in appropriate storage areas.
  • Responsible for always maintaining adequate supply levels to be sure we do not run out of supplies.
  • Take out and retrieve mail from the mailbox and inter-office mailboxes daily.
  • Open and distribute all incoming mail daily.
  • Update and maintain inventory list and tagging of office equipment.
  • Assist office staff as needed in special projects and initiatives.
  • Assist with CCW provider monthly invoicing process.
  • All other tasks assigned by your ELRC Supervisor and Directors to support program operations.

Bachelor's or Associate degree preferred but not required
