The Executive Assistant for Friendly House performs a wide variety of administrative duties while providing professional support for our senior-level directors. This position requires exceptionally strong organizational skills, with solid, demonstrated skills in communication. The Executive Assistant provides complete, helpful information in a clear and professional manner. This position interacts with senior management, community members, families, donors, and employees. Intermediate to advanced knowledge of MS software is required for success in the position. Clear understanding of time management, a positive attitude, the ability to anticipate needs, the ability to exercise good judgment and act independently without significant support from other staff is vital while always adhering to strict confidentiality protocols. The Executive Assistant always represents Friendly House in a professional manner.
Requirements:What you will do - Essential Functions
· Proactively support the Executive Director by scheduling appointments, managing calendar, anticipating workflow for the day.
· Works in a fast-paced, changing environment with daily interruptions. Prioritizes work, uses a variety of tools to ensure work is timely and accurate.
· Uses a variety of software, including word processing, spreadsheets, databases, and presentation software. Researches and gathers information to assist with support of upper management decisions.
· Brings issues and concerns to be addressed to the attention of the Executive Director. Maintains stringent confidentiality protocols of Friendly House.
· Helps prepare for meetings including scheduling, reminders, sending out agendas, and note-taking. For in-person meetings, this may also include purchasing food and setting up the room. Attend monthly board meetings.
· Performing office duties that include answering phones, copying, scanning, emailing, and ordering supplies.
· Document management and maintenance including updating frequently used docs, creating e-files, document shredding.
· Opening, sorting, and distributing incoming mail.
· Assisting with bulk mailings such as newsletters, and other mass mailings.
· Manages agency-wide calendars.
· Running errands.
· Support Friendly House community building mission.
· Other duties as assigned.
Additional Competencies
· Ability to learn new software as needed
· Preferred capability – understanding of trauma-informed care
· Knowledgeable about community-based service model
Who you are
Qualifications
· Minimum two years’ experience as an administrative assistant with a high school diploma/GED preferred.
· Experience in a nonprofit/community center/social services setting preferred.
· Knowledge about DEIA and working with diverse communities is preferred.
· Knowledge of community-based resources is preferred.
· Computer literate. Proficient with MS 365 and virtual meeting platforms.
· Successful completion of a criminal background check (ORCHARDS) and motor vehicle report (MVR).
· Access to reliable transportation and a good driving record.
