Scheduler


The primary function of the Scheduler is providing exceptional customer service, answering phone calls, initiating phone calls with our Doctors and Staff, scheduling all new incoming cases, re-scheduling cases throughout the lab, Coordinating and scheduling outsourcing cases and ensuring that all cases are scheduled accurately and efficiently.


Schedule: Full time 40 hours Monday-Friday


Compensation: $19-$22 an hour depending on experience

Essential Functions

  • Schedule all new incoming cases including implants and redo cases.
  • Schedule IOS cases, Appliances and Diagnostics
  • Meet and exceed all of our customers’ expectations by building long-term relationships with every customer to retain and grow all clients.
  • Call and re-schedule no-go cases.
  • Communicates with dental offices to advise Customers of changes to shipping dates and/or to verify case information via phone or email utilizing established scripts or templates.
  • Keeps accurate records of discussions and correspondence with customers.
  • Proactively communicates continuous process improvements to leadership.
  • Updates case boxes, applicable work order/case tracking system and applicable customer management system to reflect changes in shipping dates.
  • Monitors production flow and understands effects of production issues on shipping dates; schedules new shipping dates as necessary.
  • Monitors rush case flow to ensure cases with impending ship dates are completed on time; coordinates with Management and Technical Advisors to ensure completion of rush cases.
  • Informs next working shift of important production updates.
  • Ensure case contains RX photos; prints RX photos and locates case in order to combine materials if needed.
  • Proactively call hold cases.
  • Prints/reprints prescriptions from work order/case tracking system as necessary.
  • Monitor and actively manage missing case dates in Evident.
  • Monitor and manage Emp/incomplete accounts.
  • Invoicing corrections
  • Assist end of month statements
  • Evaluate daily invoices, make correction notes and work with accounting for proper customer corrections.
  • Provides administrative support such as verifying and/or scheduling shipping dates, scanning cases, and serving as liaison to other departments.
  • Performs other related duties and projects as business needs require at direction of management. The preceding functions have been provided as examples of the type of work performed by employees assigned to this job classification. Management reserves the right to add, subtract, or change the job functions.

  • Able to use hand tools with repetitive vibration and manual dexterity.
