Front Office Specialist

We are seeking an individual passionate about providing outstanding service for those seeking mental health support. This position plays a key role in supporting our clinicians, our full continuum of services, and clients. This individual is committed to executing with excellence and is a positive contributor to the administrative team culture whose values are cooperative, friendly, empathetic and fosters growth.
Hours: Monday through Friday, Shifts include 8am-4:30pm, 8:30am-5pm, 9:00am–5:30pm.
Pay rate: $15-$17 per hour
Location: Mindfully Fairfield. 1251 Nilles Rd., Suite 4/5, Fairfield, OH 45014.

Responsibilities:
- Answers the telephone promptly and courteously, provides accurate information and documentation, and follows up on client or provider issues in a timely and accurate manner.
- Answer multiline phones.
- Support patients and providers in the office and on the phone.
- Perform intakes for clients.
- Handle client cancelations and reschedules.
- Follows system and office policies and procedures with special attention to attendance and punctuality, confidentiality, dress code, and safety.
- Work with different computer systems, including EMR and respond to emails.
- Assisting with other office responsibilities and duties as assigned.
- Applicant must have exceptional one on one customer service skills in order to greet clients who enter our space with compassion and empathy, answer questions from clients and providers, interact with other staff members. This position would sit at our front window and be the “face” of our office.
· Requirements:
- Exceptional customer service experience – in person, phone, email.
- Healthcare and Intake experience strongly preferred.
- Ability to easily work within and navigate multiple systems simultaneously.
- Track record of excellent people skills.
- Ability to deal with difficult situations.
- Able to problem solve.
- Ability to work in a busy office that requires cross collaboration and rapport with providers and colleagues.
- Be open to cross training for other duties within the office.
- Positive builder of culture
