Job DescriptionJob Description

Overview: The YMCA of Metropolitan Los Angeles (the Y) is seeking a program coordinator to support the Youth Development department. Under the supervision of the Director of Youth Development Services, the Program Coordinator's primary roles would be to manage account receivables for YMCA contracted programs, such as PE PLAY, ELO-P/ASES and other school-based grant programs. This also includes data entry, payment tracking, record keeping, reporting, program set-up, contract management, and communication with schools, school administration and YMCA program directors. This position is not remote - it is based out of the San Fernando Valley (Northridge area).


Hours

  • During the school year (August-May), this position is Monday-Friday, 25 hours per week (8:00am-1:00pm)
  • During the summer (May-mid August), this position is Monday-Friday and can be expanded to up to 40 hours per week, depending on the number of summer grants the YMCA has contracted.

Qualifications:

  • Age: Twenty-one (21) years old or older.
  • Education: High school diploma or equivalent.
  • Other: Knowledge of program administration, strong communication skills, skilled in Microsoft Office applications, computer savvy and the ability to learn new systems. Skilled in data entry, reporting, electronic communication and organization. Ability to write correspondences and complete administrative forms. Strong interpersonal skills. Ability to manage complex systems and/or develop new system to improve administrative workflow. Ability to manage multiple projects and deadlines.

Work Environment/Minimum Physical Requirements

  • You must have the physical, visual, and auditory ability to perform the essential functions of the job with or without reasonable accommodations.
  • Job is performed in indoor as well as outdoor environments throughout the year.
  • Ability to lift 30-35lbs
  • The job is based out of a YMCA facility in the Greater Los Angeles area. This is not a remote position.

What you will do:

  • Process contract agreements signed between the YMCA and a partnering school.
  • Set-up and generate invoices to school partners for services provided to the school by the YMCA.
  • Track payments, send friendly reminders, keep records of payments invoiced and payments received.
  • Receipt payments in system, report accurately.
  • Using provided data, generate programs in the YMCA's ACTIVE Net system.
  • Support personnel and HR data entry.

Additional Responsibilities:

  • Attend staff meetings and trainings as required.
  • Uphold YMCA policies for safety, supervision, mandated reporting, and risk management.
  • Demonstrate the Six Pillars of Character (Trustworthiness, Citizenship, Respect, Responsibility, Caring, and Fairness) as well as the YMCA Core Values of Caring, Respect, Honesty, and Responsibility, in all dealings with members, guests, volunteers, and fellow staff.
