With oversight, draft basic legal forms, documents, and correspondence using templates for tasks like new client intake, estate planning, probate, tax, and business matters. Schedule deadlines and maintain reminders. Interact with clients through email, phone, or in-person meetings. Manage physical and electronic case files, including copying, scanning, filing documents, and updating records in the CMS. Undertake additional miscellaneous duties delegated by senior members of the legal team.

Compensation:

$30 -$35 DOE

Responsibilities:
  • Create basic legal forms, documents, and correspondence related to new client intake, estate planning, probate, tax, and business matters, supporting associate attorneys, paralegals, and other paraprofessionals for review and approval. Monitor and adhere to established deadlines to meet office, tax, and court requirements. Revise documents as directed by associate attorneys, paralegals, and other paraprofessionals. File and dispatch original documents (e.g., deeds) and pleadings to the court and various counties for recording. Distribute materials in accordance with local, state, and federal procedures.
  • Under supervision, review files to ensure all necessary documents are included, such as client questionnaires, tax records, property deeds, and invoices. Contact court personnel, county offices, state revenue departments, and associate attorneys to verify and gather information. Request additional documents as needed and verify personal information throughout all files.
  • Manage estate planning case files by opening, updating, and closing them as needed. Collect reports, documents, and information from diverse sources. Verify file status, enter data into databases, and review documents for proper handling. Retain necessary original documents and dispose of others according to office policies and retention schedules.
  • Under direction, set estate planning matters for signing; enter and/or update information on each case, maintain records for each stage of case files from intake through signing, and/or filing; ensure original documents are returned to client as appropriate. 
  • Provide support to associate attorneys, paralegals, and paraprofessionals confirming all required documentation has been received from the client and/or other sources; directly request or coordinate with attorneys, paralegals and paraprofessionals on outstanding items. 
  • Assemble the final estate planning portfolios, incorporating all necessary documents and ensuring adherence to legal and expected deadlines. Schedule conference rooms and arrange signing appointments with clients. Provide support to attorneys by attending client meetings, taking notes, organizing paperwork, and performing additional tasks as required.
  • Receives and responds with assistance from supervisor and/or associate attorney to client questions, and outside agencies, regarding procedures, and case/matter status. 
  • Ensure case/matters are paid in full; close physical and electronic files to include returning all client original documents timely. 
Qualifications:
  • Knowledge of general legal office principles, practices, and procedures; statutory deadlines for legal filings; legal terminology and databases; and relevant legal references and their contents.
  • Independently and accurately execute assigned tasks and responsibilities in line with established procedures and departmental policies.
  • Utilize legal terminology and understand applicable local, state, and federal court rules, as well as administrative procedures in the fields of estate planning, tax, and business law, including Washington Administrative Rules.
  • Build and sustain effective working relationships with the public, colleagues, courts, clients, and external business personnel in a professional and courteous manner.
  • Follow and implement oral and written instructions, principles, policies, and procedures within a legal office environment.
  • Handle various duties with competing priorities efficiently.
  • Proficiently use office equipment and computer software.
  • Safeguard sensitive and confidential information.
  • Precisely type and proofread documents pertaining to litigation and other legal matters.
  • Communicate clearly and effectively, both verbally and in writing."

 

Working knowledge of Business English and composition, spelling, punctuation, and grammar; arithmetic; clerical and record-keeping procedures; office equipment, including computers and software programs and their functions and capabilities.
