The Finance Coordinator plays a pivotal role in supporting the finance department by assisting with various financial and administrative tasks. This position involves handling financial transactions, maintaining accurate records, and providing administrative support to ensure the smooth operation of financial processes. The Finance Coordinator works closely with finance team members and other departments to facilitate efficient financial operations and contribute to the organization's overall financial health.

Requirements:

· Bachelor’s or Associate’s Degree in Accounting, Finance, Business Administration, or related field preferred· 1-3 Years of experience in finance, accounting, or related role· Effective communication and interpersonal skills, with the ability to collaborate across departments and levels of the organization· Strong attention to detail and accuracy in financial data entry and recordkeeping· Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines· Proficient with Microsoft Office Suite (Word, Excel, Powerpoint, Outlook) and accounting software (e.g. QuickBooks, SAP, Oracle)· Ability to maintain confidentiality and handle sensitive financial information with discretion

  • Financial Transactions
    • Review all invoices for proper approval and code for General Ledger
    • Process accounts payable and accounts receivable transactions, including invoice processing, vendor payments, and posting customer receipts.
    • Reconcile bank statements, credit card statements, and other financial accounts on a regular basis to ensure accuracy and completeness
    • Assist with payroll processing, including verifying timesheets, calculating employee wages, and preparing payroll reports
    • Prints, obtains signatures for, and distributes checks as required
    • Prepares and processes electronic payments
  • Financial Reporting
    • Assist in the preparation of financial reports, budgets, and forecasts by gathering and organizing financial data
    • Maintain financial records and documentation in compliance with accounting standards and regulatory requirements
    • Generate ad-hoc financial reports and analyses as requested by management or finance team members
    • Processes debit/credit memos for chargebacks and personal charges
    • Prepares end of month reports and reconciliations
    • Processes expense reports and appropriate documentation for personal accounts
    • Executive reporting on accounts receivable
  • Budgeting and Planning Support
    • Provide support in the annual budgeting process by gathering budget inputs, preparing budget templates, and assisting with data analysis
    • Monitor budget performance by comparing actual results to budgeted figures and identifying variances for further analysis
    • Assist in the preparation of financial projections and cash flow forecasts based on historical data and business plans
  • Administrative Support
    • Maintain organized filing systems for vendors, financial documents, contracts, and other related records
    • Coordinate meetings, appointments, and travel arrangements for finance team members as needed
    • Assist in the preparation of presentations, correspondence, and other communication materials
    • Responds to vendor and internal inquiries; researches and resolves issues
  • Compliance and Audit Assistance:
    • Assist in ensuring compliance with internal controls, financial policies, and regulatory requirements
    • Prepare documentation and schedules for internal and external audits, and assist auditors during audit fieldwork
    • Follow up on audit findings and assist in implementing recommendations for process improvements
  • Cross-Functional Collaboration
    • Collaborate with finance team members and other departments to resolve financial issues and address inquiries in a timely manner
    • Communicate effectively with vendors, customers, and internal stakeholders regarding financial transactions and inquiries
    • Participate in cross-functional projects and initiatives aimed at improving financial processes and systems
