The Operations Coordinator is tasked with ensuring that scheduling, authorizations and management of staff attendance are following policies and procedures inherent to First Children Services. The Operations Coordinator is responsible for ensuring coverage within their service delivery region. The Operations Coordinator will have to fill in for coverage when necessary to assist their service delivery region. The Operations Coordinator’s hallmark will be maintaining a strong knowledge of program requirements and protocols, building professional, mutually beneficial relationships with state and local agencies, school districts, HR, internal departments and key stakeholders.


Day to Day Functions:

Management of Scheduling/Time & Attendance

  • Work with recruitment, Clinical Directors and ABA teams to oversee all scheduling activities of employees.
  • Assist with schedules utilizing the Central Reach program
  • Assist with ensuring that staff vacancies are filled for both ongoing and temporary absences of service
  • Actively works to problem-solve and overcome scheduling barriers that may prevent billable requirements from being met
  • Assist with ensuring adherence to all policies related to time and attendance, including but not limited to staff callouts and time off requests, client cancellations, client and staff tardies, client and staff early departures, and timely appointment conversions.
  • Assist with populating reports related to attendance and scheduling then collaborate with supervisors and HR on staff accountability and adhering of company attendance policies

Assist with Client Support Tasks below:

  • Liaison for families/clients and First Children employees including assisting with intake coordination and scheduling ongoing services
  • Serves as the point of contact for families for all client and service relations

IDS Support

  • Ensures proper staffing and services are being rendered in districts
  • Ensures CentralReach profiles are created for all district students/classrooms
  • Ensures CST requests from districts are received and adds authorizations pertaining to incoming requests into CentralReach

What we require from you:

  • High school diploma.
  • RBT or ability to obtain RBT credential within 60 days of hire.
  • 1+ years of experience, preferably with responsibilities related to applied behavior analysis, daily operations, intake, case management, and supervisory experience. Must have experience with staff scheduling, preferably within CentralReach.
  • Must be able to read, write, speak, and understand English.
  • Spanish-speaking preferred.
  • Excellent people skills, experience resolving conflict, project management, office experience, general reporting skills.
  • Must display a professional attitude.
  • Actively takes initiative with job assignments and has strong analytical skills with ability to compare and contrast information, draw conclusions and prepare recommendations
  • Strong organizational skills and a high regard for customer service and accuracy, and the protection of confidential and highly sensitive information
  • Highly organized with strong follow up skills and the ability to multitask and work with competing priorities
  • Demonstrates ability to problem solve and use necessary critical thinking skills to apply to day-to-day issues that arise
  • Demonstrates ability to work both autonomously and as part of a larger, collaborative team
  • Advanced proficiency in Microsoft Office (Word, Excel, Access and Power Point) and preferably Central Reach
  • Must possess vision/hearing senses, with or without reasonable accommodation, will enable these senses to function adequately, so that the requirements of the position can be fully met.
