  1. ESSENTIAL FUNCTIONS AND PURPOSE (Job Description)

Performs general clerical and administrative support duties in accordance with established procedures, instructions, and work routines; Performs data input, extraction, analysis, and development in support of departmental functions.


  1. POSITION DEMANDS (Education/Training)

Prefer AA/AS plus two (2) years directly related administrative experience or a High School diploma with four (4) years of directly related administrative experience. Shipyard or manufacturing experience is preferred.


POSITION DEMANDS (Required Experience)

  • Articulate and confident communicator, with the ability to develop and maintain effective and robust working relationships
  • Strong admin experience and use of various software packages. Computerized Maintenance Management System (CMMS) experience preferred.
  • Proven experience in audit and compliance within a technical facilities management environment
  • Great attention to detail and accuracy, with a commitment to continuous improvement and service excellence
  • Experience of being proactive and reactive
  • Proven IT skills, ability to demonstrate working knowledge of MS Office (Word, Excel, Powerpoint and Outlook)
  • Basic understanding of Health and Safety at Work regulations.
  • Must be punctual and reliable, with proven attendance record
  • Provide general administration support and advice to the Facilities Management team, including liaising with other departments
  • Update documentation and records using a range of different IT systems to ensure information and data is always maintained and updated to reflect compliance with internal policies and external regulations
  • Review the technical jobs logged on the CMMS system and monitor progress against schedules; report non-compliance to management
  • Enter, review and validate CMMS system data against equipment operating manual or other maintenance requirements
  • Ensure work orders are complete with the correct information needed and entered into the CMMS system
  • Prepare schedules, reports, and presentations, including updating weekly metrics and status reports.
  • Able to arrange, participate in, and implement conferences and meetings as directed
  • Ensure all departmental logs are up to date and training requirements are notified, communicating with the relevant managers as required
  • Collate information and data for contractual reports, taking ownership to obtain and collect the data and information
  • Produce contractual documents and export inspection reports
  • Observe and support NASSCO health, safety, and environmental policy
  • Performs other responsibilities and duties as assigned
