Job Summary:

An administrative assistant is the supportive force behind both, and we are currently seeking someone exceptional to take the administrative helm. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention for detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. An ability to multitask, manage complex tasks, and meet changing deadlines is essential to the position.

Objectives of this role:

  • Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
  • Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance and timely ordering
  • Maintain multiple excel reports by analyzing and refining data, such as recorded calls, event attendees, scheduling, conversions, return on investment, and other projects as assigned
  • Coordinate internal and external resources to support Marketing Director
  • Support and achieve organizational goals while upholding best practices

Responsibilities:

  • Provide coverage by answering a multiline phone system and scheduling patients, managing all incoming/outgoing mail and shipments, bank deposits, and maintaining an organized, clean office environment
  • Learn and provide coverage on posting charges and payments to NexTech
  • Provide administrative support to senior leaders, including email correspondence, generation and distribution of memos, letters, spreadsheets, forms, and faxes
  • Plan, organize, and schedule monthly company function like birthday lunch and anniversary cards
  • Maintain corporate org chart, filing system, contact database, employee list, and inventory
  • Timely data entry and document management is expected
  • Order and oversee office supplies, inventory and food deliveries for group meetings
  • Upload and code credit card receipts to support charges
  • Scan invoices to Bill.com
  • Professional dress and communication is required
  • Ability to work in a fast-paced environment

Qualifications:

  • Required:
    1. Education: High school diploma or equivalent
    2. Proven administrative experience
    3. Confidentiality and discretion in handling sensitive information
    4. Experience with Electronic Medical Records
    5. Superb written and verbal communication skills
    6. Strong time-management skills and multitasking ability
    7. Proficient in MS Office
    8. Aptitude for learning new software and systems
  • Preferred:
    1. Education: College degree or equivalent
    2. Previous success in office administration
    3. Experience managing expenses
    4. Experience developing internal processes and filing systems
