Responsibilities

  • Stocking and Organizing Office Supplies
  • Ensure office supplies are stocked and organized efficiently.
  • Monitor inventory levels and reorder supplies as needed.
  • Office Administration:
  • Perform general administrative tasks to support office operations.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain the cleanliness and organization of common areas, including break rooms.
  • Greet and assist visitors, clients, and interviewees in a professional manner.
  • Coordinate and schedule appointments, meetings, and interviews.
  • Escort interviewees to training rooms and provide support as needed.

Facilities Coordination:

  • Report maintenance issues and facility-related concerns promptly to the Facilities Manager.
  • Coordinate with external vendors and service providers as required.

Technology and Communication:

  • Proficiently use Microsoft Office suite (Word, Excel, Outlook) and other relevant software.
  • Manage front door access using designated apps or systems.
  • Communicate effectively via email, phone, and internal messaging platforms like Teams.

Break Room and Event Coordination:

  • Ensure break rooms are clean, tidy, and fully stocked with beverages, snacks, and breakfast items.
  • Order and set up Friday lunches and special event catering as needed.
  • Must be covid Vaccinated

Qualifications:

  • Education: High school diploma or equivalent; an associate degree or relevant certification is a plus.
  • Experience: Previous experience in a front desk, receptionist, or administrative role is preferred.
  • Skills:
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle a multi-line phone system.
  • Customer service orientation and a professional demeanor.
  • Attention to detail and problem-solving skills.
