Position Title: Enrollment Specialist

Reports to: Chief Executive Officer and Principal

Term: 12 month position, salaried

POSITION SUMMARY AND RESPONSIBILITIES

The Enrollment Specialist oversees the school's recruitment, enrollment, and retention of students, including the enrollment of a more diverse and inclusive student body. The Enrollment Specialist develops, communicates, and oversees processes, procedures, and goals associated with maintaining a full school population. The Enrollment Specialist meets with prospective and current students and their families, including representation of the school at recruitment and community events, advising on the admissions and/or enrollment processes, evaluating credentials of student applications for admissions, monitoring, tracking and reporting on enrollment data, and coordinating with other departments to provide needed services. Enrollment Specialists are expected to present information in a variety of forums, coordinating with high schools, daycare centers, other schools, and community groups, as appropriate, while also managing the creation and coordination of communications for consistency of messaging across multiple areas.


Student Accounting

  • Enter all student information into school student information system and school district system
  • Manage enrollment/re-enrollment process
  • Perform monthly audit of student files and update records as needed
  • Maintain student files
  • Respond to request for records from authorized agencies and/or individuals
  • Generate weekly enrollment report

Enrollment

  • Maintain a working knowledge of new and existing laws related to enrollment, transfers, affidavits, etc...
  • Periodically reviews application and enrollment paperwork and makes necessary changes as suggested or required by federal, state, and local regulations
  • Develop student recruitment plan
  • Aids in facilitating the completion of annual onboarding for all new and returning students/families, including paperwork assistance, providing information about the school, and other family needs
  • Conduct Open-Houses for prospective students and families
  • Facilitate Kindergarten Round Up and New Scholar Orientations in conjunction with Academy Leaders
  • Develop and maintain relationships with neighboring schools
  • Serve as a scholar recruiter
  • Develop materials and presentations to share about our school
  • Conduct random audit of student files
  • Process student withdrawals and/or enrollments
  • Assist with the maintenance of student information systems with accurate data (i.e. telephone numbers, address, emergency contacts)
  • Assist in enrollment process during re-enrollment and open enrollment of students
  • Provide accurate and up-to-date enrollment numbers for each school site weekly

State/Board/District Reporting

  • Prepare and share weekly enrollment reports disaggregated by gender, neighborhood, etc.
  • Prepare and present reports and analyses of enrollment trends
  • Maintain a robust waitlist
  • Prepare monthly board of trustee reports
  • Enter data into reporting system for submission
  • Work closely with compliance manager to ensure all student accounting data is updated for federal programs such as food services etc.

Transportation

  • Work closely with school district to ensure bus service is provided for eligible students
  • Contact parents regarding changes in bus assignments/schedules
  • Disseminate transpasses to eligible students weekly
  • Maintain all bus write-ups, communicate incidents to administration

EDUCATION

  • Completed two years of study at an institution of higher education; or
  • Obtained an Associate's degree (or higher); or
  • Combination of education and experience

QUALIFICATIONS

  • Minimum one (1) year experience working in an office and/or school setting
  • Ability to work on a computer
  • Customer service experience
  • Must be detail-oriented and possess excellent organizational skills
  • Experience with office software such as Word, Excel, databases, email

COMPENSATION

Initial salary offers for this position range starting at $45,000. Salaries are determined using an equitable compensation scale that accounts for years of experience and levels of attained education.
