Prominent Global Solutions is looking for an experienced Proposal Coordinator to become part of our creative, collaborative, and high-energy team. As an integral part of the marketing team, you will have the opportunity to market PGS’ capabilities, as well as develop innovative and creative proposals, presentations, and other materials that help win new projects for PGS. This position is temporary, part time position. 


Responsibilities: 

  • Supports the proposal development process, including developing proposal templates, establishing deadlines, collecting information from technical writers, and conducting compliance reviews of proposal drafts
  • Provide document formatting, production, and select administrative support to produce professionally prepared and compliant proposal submittals and other business development artifacts
  • Analyze solicitations (i.e., RFPs, RFIs, RFQs) for proposal requirements that impact format and production
  • Assist the Proposal Manager throughout the proposal lifecycle to coordinate meeting logistics, schedules, and proposal documentation (i.e., outlines, compliance matrices, writing assignment matrices)
  • Edit and format proposals and other business development documentation
  • Develops original content for business development artifacts as required
  • Create, edit, and maintain content in past performance library
  • Manage proposal repository and ensure all proposal content is up-to-date and easily accessible for future use.
  • Create and maintain templates and standard response libraries to streamline the proposal development process.
  • Draft responses to Requests for Information (RFI)
  • Coordinate with graphics and design teams to ensure graphics are produced in accordance with proposal and capture managers’ direction.
  • Serve as Volume Lead for Business/Contracts volumes as may be assigned to ensure all required documents are submission-ready and appropriately signed/dated
  • Manages and regularly updates the opportunity tracking dashboard within SharePoint
  • Work with marketing to update and maintain CRM


Qualifications:

  • Minimum of 1 year of experience supporting proposal development for federal contracts, 2 years strongly preferred.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Attention to detail and strong organizational skills.
  • High level expertise formatting documents in MS Word and Adobe Pro pdf applications. 
  • Familiarity with MS Teams and SharePoint including setting up and managing groups and project team sites.
