Part-Time Administrative Assistant

We are seeking a reliable and detail-oriented Part-Time Administrative Assistant to join our engineering company. The ideal candidate will provide essential administrative support to ensure smooth daily operations. This position requires excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks efficiently. The Part-Time Administrative Assistant will work closely with various departments and assist in managing administrative tasks to contribute to the overall success of the company.

Responsibilities:

  • Perform general administrative duties such as answering phone calls, handling incoming and outgoing mail, tracking and maintaining office supplies, submitting expense reports and ordering office lunches as needed.
  • Schedule meetings, maintain calendars and assist with taking notes during meetings.
  • Maintain office appearance and assist with building maintenance requests and fleet management.
  • Assist accounting in approving regional office invoices and support regional biller with developing client invoices as needed.
  • Support Project Managers with project related tasks such as contractors’ qualifications, plats, pay applications, processing and tracking consultant invoices, and maintaining data in our Customer Relationship Management system.
  • Prepare and maintain documents, reports, and presentations using Microsoft Office or other relevant software. Maintain electronic and hard copy project files, offering organizational expertise for efficiency.
  • Assist in planning company events.
  • Collaborate with other administrative staff to ensure efficient office operations.
  • Perform other administrative duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in an administrative or office support role is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Exceptional organizational and multitasking abilities, with great attention to detail.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent interpersonal skills and the ability to work effectively in a team.
  • Proactive problem-solving skills and the ability to anticipate needs and provide solutions.
  • Strong work ethic and ability to maintain confidentiality.

Working Hours:

This is a part-time position The specific working schedule will be determined in consultation with the successful candidate.
