Executive Assistant

Job Summary


The Executive Assistant provides outstanding administrative support to the Co-CEO and key members of the Senior Leadership Team (SLT).


The Executive Assistant skillfully handles sensitive and confidential matters in a tactful and effective manner. Manage and maintain executive schedules, including-scheduling travel and conferences, making appointments, completion of expense reports and making changes to appointments. Composes and prepares correspondence, memos and reports, presentations, organizes/maintains files, prepares reports for projects, schedules meetings, provides direction and follow up of assignments to SLT members.

Primary Duties and Responsibilities

  • Performs a wide variety of administrative responsibilities and support functions, for the CEO and President. Independently composes and generates standard and confidential memoranda and other internal and external correspondence.
  • Works independently or as part of a team on special projects; plans, organizes and coordinates events or other projects as requested by CEO or President.
  • Schedules and organized complex activities including meetings, travel and other activities for CEO and President.
  • Collects information and complies various reports using software applications; develops and prepares presentations using Power Point or other automated tools and distributes reports as appropriate.
  • Assists with coordination of SLT meetings and attendance at regional seminars including assistance with hotel, travel, and dining arrangements.
  • Processes business expenses from Concur for payment.

Education

  • Bachelor’s in Business, Communications, or other related field (Preferred)
  • High School Diploma or Associates Degree (Required)

Work Related Experience and Skills

  • 5 + years of proven experience supporting one or more Executives in a high volume, demanding environment.
  • Advanced MS Office experience.
  • Excellent interpersonal, communication, business and organizational skills plus poise, professionalism, diplomacy and the ability to manage confidential information appropriately and sensitively.
  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
