Our M.S. Walker Brands National Sales team is looking for a highly-organized, customer-service focused administrator to play a crucial role in the fastest growing division of M.S. Walker as a Brands Control State and Open Wholesale Coordinator. The Control State and Open Wholesale Coordinator, reporting directly to the National Sales Operations Manager, ensures the accurate, efficient, and compliant processing of orders coming directly from our distributors and through our Sales Managers.

This position will be eligible for a hybrid/flex schedule with 2-3 days in office each week upon successful completion of an initial onsite training period.

Responsibilities:

  • Assist in new customer, item, and brand set-up forms
  • Invoice, track, and coordinate shipments for sales samples; track receipts of incoming goods; ensure accuracy of pricing for all orders
  • Support the wholesale order fulfillment cycle
  • Support the control state order fulfillment cycle
  • Process billbacks and credits, and state tax filings and reports
  • Assist with control state compliance
  • Coordinate Limited Release and Allocated Offers; create/format offer sheets
  • Run back-order and sales depletion reports
  • Communicate to sales representatives and/or portfolio managers on product shipments and inventory
  • Proactively follow-up with representatives and/or customers who have not taken product after 30 days
  • Support with control state commissions
  • Collaborate daily with Credit, Shipping and Compliance teams, and other internal stakeholders as needed
  • Other projects as assigned

Requirements

  • 2+ years in an administrative support role with internal and external customer service experience
  • Excellent organizational skills
  • Exceptional communication skills; particularly over the phone and through Microsoft Teams/Zoom
  • Proficiency in Microsoft Office Suite with strong Excel skills and pivot tables
  • Knowledge of wine and spirits terminology preferred
  • Bachelor's degree
