ROLE DESCRIPTION

The Operations Administrator is responsible for meeting the operational needs for the St. Louis In-Home area along with the Sunset Hill Center. The job will be located at the center. The Operations Administrator role is designed to increase productivity and accountability within the center and in home. By leading employee management, forecasting, documenting, and scheduling, the Operations Administrator will ensure the center is running efficiently.

The Clinical Director will orchestrate weekly check points with Operations Administrator to ensure the centers are meeting budget, optimizing labor utilization, and implementing company policies to encourage a culture of collaboration between operational and In-Home area aspects of the business. It is expected for the Operations Administrator to be available to work during center hours, Monday-Friday, (7:30-6:30 pm) as well as to make scheduling adjustments as necessary outside of business hours.


RESPONSIBILITIES:

  • Answering calls to Center and In-Home line and redirecting to correct person/department when applicable
  • Corresponding with families regarding make-up sessions, availability changes, & holiday closures.
  • Corresponding with staff regarding client cancellations, schedule modifications, mileage, and center changes
  • Managing scheduling, staffing, budgeting, inventorying, & employee performance management
  • Scheduling for Center and In-Home (includes keeping CR up to date with client/tech availability, entering and changing all appointments)
  • Conversions tracking and reporting - Ensuring completion of therapy conversions daily
  • Assisting techs with CR problems (conversions issues, cancellations, etc.)
  • Reporting cancellation data to CD weekly
  • Helping with onboarding as needed
  • Training new hire BT/RBTs
  • Tracking progress of BTs towards obtaining RBT certifications
  • Ensuring RBTs' certifications don't expire
  • Disbursement, collection, and tracking of iPads
  • Attending and presenting updates in monthly Admin meeting -Other tasks as assigned by Operations Supervisor
  • Implementing Employee Handbook guidelines, specifically: PTO, attendance, dress code, professional conduct & disciplinary action procedures
  • Reporting breaches in HIPAA to Quality Assurance Coordinator
  • Ensuring client dignity and confidentiality within the center
  • Resolving conflicts within center both professionally and proactively
  • Responsible for maintaining staff morale

QUALIFICATIONS AND EDUCATION:

  • Preferred: Bachelor's Degree in Psychology, Education, Applied Behavior Analysis, or Management
  • Preferred: Active or former RBT for 6-12+ months
  • Preferred: At least 6-12+ months of management or office administration experience in ABA or healthcare setting
  • Preferred: At least 6-12+ months of Supervisory Experience
  • Proficient in Microsoft Word/Excel/EMR Systems
