Position Purpose
Under the direct supervision of the Camp Director, the Manager of Camp Administration plays a crucial role in supporting the year-round operations of Camp Mendocino. This position focuses on administrative tasks essential for the camp's smooth functioning.
Spring and Summer: The Manager is heavily involved in planning and executing summer camp sessions. This includes managing the registration process for approximately 1,200 campers and coordinating transportation logistics for transporting youth from San Francisco to Camp Mendocino. The Manager supervises a part-time team to assist with enrollment, recruitment, and communications. Throughout the summer, the role is primarily based in the San Francisco office, with occasional visits to Camp Mendocino. In San Francisco, responsibilities include overseeing transportation days, coordinating buses, managing location logistics, and working with BGCSF on changeover days, while also supporting camper enrollment and family communications. On-site at Camp, the Manager provides support and indirect supervision to the Camp Office Manager, Office Coordinators, and Retail Coordinator.
Fall and Winter: The Manager assists the Camp Director and Assistant Camp Director with strategic planning to enhance systems for the upcoming year. They handle administrative duties such as schedule/calendar management, rental group contracting, budget oversight, and communication with the Camp leadership team, the broader organization, and external partners. Additionally, the Manager oversees facility rentals during the spring and fall, often serving as the on-site coordinator for some rental groups.
This role requires occasional weekend presence at Camp Mendocino during the peak rental season (August to November 1) and sometimes in the spring. The position divides its time approximately 85% in San Francisco and 15% at Camp Mendocino.
This is a full-time position (40 hours per week) and includes benefits.
Key Responsibilities
Participant Recruitment & Enrolment (35%)
- Develop and maintain registration systems: Oversee Camp registration systems and database management.
- Implement recruitment strategies: Achieve annual membership and retention goals through targeted camper recruitment strategies, collaborating with external community partners and internal Clubhouse staff to increase camper attendance.
- Work with Marketing & Communications: Enhance camper participation and retention through strategic marketing efforts, including Camp website, flyers, presentations, and more.
- Act as primary contact for families: Address concerns and inquiries from Camp families professionally and promptly via phone, email, and website chat.
- Plan and manage transportation: Oversee summer camp transportation, including charter bus rentals, pick-up/drop-off coordination, and on-site - with some early mornings, evenings, and weekends required.
- Support hiring processes: Collaborate with Human Resources and the Camp Office Manager on hiring seasonal staff, including resume screening, attending hiring fairs, and onboarding for staff, interns, volunteers, and seasonal employees.
- Pursue tabling opportunities: Engage in resource fairs and community events to promote Camp.
Administrative Support (30%)
- Coordinate meetings: Schedule, take notes, and track follow-up actions with the Camp team.
- Database and file management: Handle all Camp databases for camper recruitment, staff files, and rental groups. Maintain both electronic and hard copy filing systems, ensuring accuracy, timeliness, and easy retrieval.
- Information management: Anticipate and ensure the availability of crucial Camp information.
- System implementation: Proactively implement and follow through on systems and processes.
- Grant coordination: Collaborate with the Institutional Giving Department on grant and funding requirements.
- Calendar management: Oversee the annual Camp calendar.
- Cross-department collaboration: Regularly work with Human Resources, Finance, Institutional Giving, Development, Marketing, and Clubhouse/Site Directors.
Revenue & Financial Management (20%)
- Strategize facility rentals: Partner with the Camp Director to optimize facility rentals, including recruiting new groups and meeting budget/revenue goals.
- Coordinate rental events: Manage all aspects of Camp rentals, including staffing, scheduling, contracts, logistics, team communication, and on-site coordination as needed.
- Support retail operations: Assist in overseeing retail store functions, including inventory management, ordering, and achieving revenue targets.
- Manage budget goals: Ensure revenue targets are met for family and agency tuition fees.
- Monitor finances: Work with the Finance Department to track and report on incoming funds, including fees, canteen income, and rental revenue.
Staff Management (15%)
- Supervise seasonal staff: Directly oversee seasonal administrative positions in the San Francisco office.
- Delegate tasks: Clearly communicate and delegate tasks to staff and volunteers.
- Provide coaching and feedback: Offer real-time coaching and constructive feedback. Hold regular supervision meetings with team members.
- Provide high-level leadership to seasonal Camp teams: Support the supervision of the Camp office manager, office coordinators, retail manager, and seasonal rental staff.
Required Skills
- Education: BA or BS from an accredited university or equivalent relevant work experience.
- Driver’s License: Valid CA driver’s license; comfortable driving company vehicles, including a 12-passenger van.
- Event Planning & Leadership: Strong skills in planning and leading events or logistical operations; capable of directing others, including senior staff.
- Communication Skills: Excellent verbal and written communication skills.
- Technical Proficiency: Exceptional writing, computer, and customer relations skills.
Preferred Skills
- Staff Management: 2-3 years of experience in managing staff.
- Camp Leadership: Previous experience in leadership roles at an overnight summer camp.
- Non-Profit Experience: Background working with a youth development non-profit.
- Certifications: Red Cross First Aid/CPR certification required within 90 days of employment.
- Bilingual candidates are highly encouraged to apply.

Pay
The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and BGCSF needs. At BGCSF, our decisions are based on other factors and dependent on the circumstances for each position. Depending on the need and requirement of the position, an individual could be hired at or near the entry-level, mid-level or top-of-the-range for their role and compensation. As such, a reasonable estimate of the current range is $65,000 annually.
