Job DescriptionJob Description

Administrative Specialist needed to support the General Manager of Outlet Center, and overall office management functions and activities Full-Time. Duties include, but are not limited to:

  • Assist all visitors to the Management office.
  • Answer and redirect incoming calls to the appropriate team member
  • Assist tenants with copier and fax machine services and prepare end of month billing.
  • Stock kitchen/break room and maintain appropriate inventory of supplies (i.e. coffee, cups and napkins).
  • Coordinate distribution process of memos to tenants.
  • Collect/distribute/prepare incoming/outgoing mail and courier packages
  • Track and maintain Certificate of Insurance for on-site contractors.
  • Coordinate Accounting activity between the Center and Corporate A/P dept.
  • Perform other related duties as assigned and as needed.
  • Provide customer service when interacting with tenants, vendors and staff
  • Running reports
  • Assist with the payables for all center related expenses
  • Assist with other duties as assigned

Qualifications/Requirements:

  • High school diploma or equivalent
  • 1-2 years of administration experience
  • Bi-lingual in Spanish preferred
  • Accounting experience preferred
  • Proficient in Microsoft Office/Word/Excel/Outlook
  • Must be able to work weekends, holidays and retail business hours.
  • Human Resource experience highly preferred

EDUCATION and EXPERIENCE

  • High school diploma or general equivalency diploma (G.E.D.)
  • 1-2 years of Administrative experience or in a related area preferred.
  • 1-2 years of Accounting or Accounts Payable experience preferred.

COMMUNICATION SKILLS

  • Ability to comprehend, analyze, and interpret business documents and transactions.
  • Ability to effectively respond to issues both verbally and in writing.
  • Requires a high level of commitment to customer service.

OTHER SKILLS and/or ABILITIES

  • Demonstrate ability to work well under pressure with a proactive approach to unusual occurrences.
  • Must be able to work independently and take initiative.
  • Requires good organizational and leadership skills, attention to detail and openness to new ideas and procedures.
  • Extensive experience with MS Office applications is required.
