ROLE:

The Assistant Director of Ed.D. Operations ensures the Ed.D. Program is well-organized and functions smoothly by supervising the Ed.D. student workers, graduate assistants, dissertation editing services, and faculty involved in the dissertation-track phase of the program. This position is instrumental in developing and running Ed.D. Professional Development training with faculty, adjunct faculty, and staff on the dissertation process. This position requires an individual to possess strong leadership and managerial skills, is able to creatively apply advanced technology skills to administrative tasks and special projects, has the ability to mentor faculty and students, and displays decision-making skills to maintain effective policies and procedures of the program.

APPOINTMENT:

  • Recommended by the Dean of School of Education
  • Approved by the Senior Vice President/Provost

STAFF RELATIONSHIPS:

  • Reports to the Deans of the School of Education for all job-related functions
  • Reports directly to the Ed.D. Senior Director for day-to-day debriefings
  • Interacts and functions cooperatively with other department and campus personnel as needed

SUPERVISORY:

  • This is a temporary supervisory position responsible for the daily supervision of student workers, graduate assistants, dissertation editing services, and faculty involved in the dissertation-track phase of the program. The position involves the carrying out of supervisory responsibilities in accordance with the university's policies and applicable laws.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

To perform this job successfully, an individual must be able to accomplish each of the below duties satisfactorily:

Assistant Director of Ed.D. Operations

  • Acts as the main managerial/administrative "link" between the Ed.D. department and other parties within and outside of CUI.
  • Oversees university editing protocols and processes to ensure efficient systems are in place for student success.
  • Designs, oversees and utilizes complex information/data management systems and trains others to effectively use these systems.
  • Management of committee member compensation for non-CUI readers of dissertations
  • Involves designing and working with complex e-based files/management systems.
  • Provides supervisory oversight so the integrity of the data and of the systems are kept intact.
  • Prepare for, assist, and present at Ed.D. program meetings (i.e., Action Team meetings)
  • Manages the workflow of the office.
  • Organizing and overseeing the logistics of trips and events. Position responsible for providing logistical direction and coordination for various Department trips (D.C. and international trip) and events (learning sessions, commencement, etc.).
  • Maintains close communication and liaison with faculty, staff, students, and outside agencies and other individuals as needed.
  • Prepare for and assist in implementation of all on-campus F2F learning sessions/seminars, commencement activities and other events.
  • Credit card transaction management
  • Collaborate with the Registrar's Office, Graduate Admissions, Bursar's Office, Marketing, Financial Aid Offices, and Moon International Center.
  • Provide students with registration directions and assistance as needed.
  • Respond to student inquiries to provide students with accurate information about academic progression and degree requirements and to assist students in understanding academic policies and procedures.
  • Create graduation plans and communicate next steps.
  • Responsible for all student advisement tasks from application process to degree conferral.
  • Student and faculty training of required documents, procedures, and the DTMS
  • Other duties as assigned

EDUCATION AND/OR EXPERIENCE:

  • Bachelor degree required. Master degree preferred.
  • Minimum of two years related experience in working with students, exceptional and current technology skills.

QUALIFICATION REQUIREMENTS:

  • Thorough knowledge of program/university policies, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.
  • Knowledge of a variety of administrative operational activities such as event planning, and employee contracts.
  • Advanced knowledge of Google Drive, Docs, and Sheets; MS Word, other online learning systems
  • Accuracy in all written communication, record keeping, data entry, etc.
  • Professional quality in all materials leaving office
  • Ability to discern required details when reading Ed.D. level documents
  • Adhere to program timelines in organizing tasks and working with various program professors
  • Accuracy in scheduling and maintaining calendars and work schedules
  • Ability to handle databases on the computer and Google drive
  • Professional demeanor in telephone contacts and in welcoming office visitors
  • Ability to work with the executive director and a team of professors
  • Ability to prioritize and clarify assignments, and to multitask without continuous supervision

HOURS:

The regular hours for this position are 8:00 AM to 4:30 PM, Monday through Friday. Hours may vary due to the needs of the Ed.D. department and may include weekend and evening duties. On Campus hours are a requirement for this position and determined in consultation with the Senior Director and Dean.
