Job Summary: 
We are looking for an Executive Assistant to support members of our executive team. The ideal candidate will be someone who is proactive, resourceful, highly organized, diligent, detail-oriented, efficient, a problem solver, and takes initiative. In this role you would need to be a go-getter who has experience handling confidential matters and thrives in a fast paced, deadline driven environment.

Duties and Responsibilities:  

  • Foster positive relationships with all levels of employees as the gateway to the executive team ( 3 Founder + President )
  • Proactively manage calendars with strong attention to accuracy, detail, and allocation of time to promote productivity and anticipate the need to re-prioritize as appropriate
  • Respond to requests for information from clients, account staff, and other employees in a professional and timely manner
  • Assist in managing clients, partners and other business contacts
  • Material development (presentation decks and other media) for team meetings and other team related admin (e.g. agency updates, credentials, onboarding new hires, etc.)
  • Identify operational weaknesses and help enhance processes or develop new ones
  • Provide general administrative support including: managing travel logistics including flights, lodging, transportation and expense reports
  • Travel and manage onsite event needs for executives/partners, their guests, and colleagues including flights, lodging, car rentals, reservations and credentials as needed
  • Travel to special events as needed
  • Provide support on presentations and agency meetings
  • Produce, manage, and execute in-house company events as needed (All Hands Company meetings, Weekly Agency Staff Meetings, Special Occasions etc.) 
  • Assist in leading and managing internal organizational projects 
  • Manage office and facility responsibilities include: building interaction, guests,  support services, outside vendors, F&B, internal supplies, etc.

Knowledge, Skills and Abilities: 
Bachelor’s degree

  • 1-2 years previous experience working in an executive assistant or administrative capacity, preferably in a consulting, PR, marketing, advertising, digital agency environment a plus
  • Impeccable organization, planning and time management
  • A proactive approach to problem-solving with strong decision-making skills.
  • Strong business writing and oral communication skills
  • Sensitivity and discretion around confidential projects and information
  • Effectively and strategically communicate across company departments 
  • Shadow department heads and seek to find/improve any organizational efficiencies 
  • Learning on the fly - naturally curious, versatile learner, open to change, know when to ask for direction
  • Proficiency w/ basic Microsoft Suite, Google Apps for business, Adobe Photoshop and InDesign
  • You thrive in and contribute to a positive, collaborative, fast-paced and fun work environment
When it comes to deciding on compensation, there are several unique variables at play. As it stands, a fair estimate for the current salary range would be in the $22-$24 per hour + overtime. Compensation decision factors include but are not limited to experience, training, skill set, business needs, and travel requirements.
