Job Description:

We are seeking an Executive Assistant who will be instrumental in managing the day-to-day administrative tasks for our CEO. This role is ideal for someone who has a blend of high-level administrative skills and proven project management abilities.

Responsibilities:

  • Manage and maintain the CEO’s calendar, including scheduling meetings, conferences, and travel.
  • Prepare and edit correspondence, communications, and other documents.
  • File and retrieve documents and reference materials.
  • Conduct research, and collect and analyze data to prepare reports and documents.
  • Plan and execute projects to ensure completion within timeframes and budgets.
  • Manage changes to projects’ scope, schedule, and costs, maintaining project documentation.
  • Handle client interactions and communications related to ongoing projects.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 2 years of experience as an Executive Assistant, preferably supporting a CEO or a C-suite executive, or a minimum of 2 years experience as a Project Manager, preferably within our industry.
  • Exceptional organizational and time management skills.
  • Strong ability to act with professionalism, discretion, and tact.
  • Excellent communication, both written and verbal, interpersonal, and presentation skills.
  • Ability to manage multiple priorities and adapt to changing environments.
  • Proficient in Microsoft Office Suite and familiar with project management software.
  • Strong attention to detail, with a keen eye for accuracy.
  • Ability to maintain discretion and confidentiality.
  • Flexibility to adapt to a dynamic work environment.
  • A proactive attitude, ready to tackle challenges head-on.
  • Must be willing to travel occasionally and be at least 26 years old to meet rental car age requirements.
