Position: WISH Operational Support Coordinator

Department: Maternal Child Health

Supervisor: Maternal Child Health, Director

Compensation: $22.00 per hour

FLSA Status: Non-Exempt, Full-Time

Hours of Work: Non-traditional work hours as required to meet client needs for direct services as arranged with supervisor. Occasional evening or weekend work.

PRIMARY FUNCTION: Provide supportive services for Maternal Child Health Director & Educator and Outreach Specialists for high risk, pregnant clients, infants, and families throughout Kalamazoo County. Act as a liaison between the YWCA, health systems, and other direct service providers for WISH home visitation clients. Implement the YWCA’s mission to: Eliminate racism, empower women, and promote peace, justice, freedom and dignity for all.

To provide Administrative support across Home Visitation Programs at YWCA Kalamazoo, specifically within the Maternal Infant Health Program (MIHP) to ensure compliance of program requirements. Assist with implementation and adherence to program requirements.

QUALIFICATIONS:

  1. High school diploma or equivalent.
  2. Minimum two years experience providing administrate support in a health and/or human services related program.
  3. Demonstrated ability to work well with people from various ages, backgrounds, life experiences, and communities.
  4. Strong computer skills in Microsoft Office Suite and experience with case management software (e.g. Apricot, ChallengerSoft) desired.
  5. Excellent written and verbal communication skills.
  6. Attention to detail and strong organizational skills.
  7. Strong interpersonal skills and ability to work collaboratively on an inter-professional team.
  8. Demonstrated ability to work independently and under pressure.

RESPONSIBILITIES:

  1. Back up for managing the referral process. Receives and makes initial contact to all home visiting referrals, both internally and externally. Schedules and assigns referrals to Educator and Outreach Specialists.
  2. Maintains YWCA WISH program files and internal data management system. Orders and maintains office supplies and inventory for WISH.
  3. Provide administrative support to the Maternal Child Health Director.
  4. Manage administrative duties as needed including but not limited to answering doors, customer service, data entry, filing, copying/printing, and mailing.
  5. Support YWCA WISH staff by providing and following-up on referrals, transportation coordination, program discharges with clients and partners.
  6. Collect program data, and submit reports as requested.
  7. Prepare reports and correspondence as needed.
  8. Communicate and coordinate with internal departments as needed.
  9. Create and maintain WISH dashboards.
  1. Appropriately handles confidential information and adheres to HIPAA guidelines.
  2. Work collaboratively with the WISH home visitation team to provide care coordination and support the health and well-being of clients and their families.
  3. Work collaboratively with the WISH home visitation team to operate WISH parenting classes.
  4. Comply with Association policy regarding required reporting of suspected child abuse.
  5. As a YWCA employee, project a positive image of the Association and its programs to the community, the Association and the program.
  6. Work cooperatively with program participants, YWCA staff and volunteers.
  7. Coordinate quarterly birthday parties for children in the program ages 1 - 3 years.
  8. Coordinate WISH Annual Events.
  9. Library Upkeep - to include displaying children's photos (those in program 0 - 3 years old), inspiring/encouraging posters...
  10. Collect and maintain birthday gifts - (donated gifts as much as possible).
  11. Maintain inventory management system.
  12. Develop and maintain system for dispensing and tracking supplies.
  13. Perform other duties as assigned.

WORKING CONDITIONS AND ESSENTIAL FUNCTIONS:

  1. Cornerstone, Grace, and/or YWCA Main Building.
  2. Requires the ability to travel to multiple off-site locations.
  3. Potential outdoor events.
  4. Sitting, standing, kneeling, bending, and some lifting.
  5. The employee must occasionally lift and/or move more than 20 pounds.
  6. Occasionally exposure to blood borne and airborne pathogens or infectious materials.
  7. Specialized equipment, machines, or vehicles used: Computer, tablet.
  8. Valid Michigan’s driver’s license and reliable transportation are required.
