Rhino Shield Jacksonville seeks a highly motivated and detail-oriented Event/Trade Show Coordinator to join our team to set leads and help the company generate sales Top performers in this position can make $100k+ annually. The successful candidate will be crucial in planning, coordinating, and executing in-person events and trade shows. This involves everything from obtaining company insurance for the show, developing detailed project plans, managing budgets, and handling post-event reporting. With a requirement to travel in our territory (Jacksonville, Orlando, Tampa) 100% of the time, this role demands flexibility, exceptional organizational skills, and the ability to manage multiple projects concurrently. This role is full-time but has the ability to make your own schedule. This person should be ambitious and always looking for shows/events to have a booth.

Responsibilities:

  • Develop comprehensive event project plans, including setup tasks, promotional items, bookings, and other critical details.
  • Work at least 10 shows (10 large shows a year are required)
  • Setup and work the booth for the duration of the events
  • Manage all aspects of event planning and execution, including layout, cost estimates, and budget reconciliation.
  • Negotiate, review, and execute contracts with vendors and venues.
  • Ensure meticulous attention to detail and high accuracy in all facets of event planning.
  • Develop and implement event strategies and plans for various trade shows, exhibitions, and conferences.
  • Maintain close relationships with the business and executive teams for visibility into planning, budgeting, and business priorities.
  • Track and manage a detailed calendar of events.
  • Work closely with internal teams on logistics, including venue selection, booth design, and shipping logistics.
  • Manage event budgets, negotiate contracts, and track expenses to ensure cost-effectiveness.
  • Collaborate with the marketing team to create event marketing materials.

Skills:

  • Proven experience in event management, with a preference for experience in trade shows or exhibitions.
  • Exceptional written and interpersonal communication skills, with the ability to collaborate effectively with both internal teams and external stakeholders.
  • Strong project management skills, including documentation, analytics, and reporting.
  • Organizational skills
  • Proficiency in MS Office Suite and familiarity with other project management digital tools.
  • The ability to travel and work flexible hours, including weekends and evenings.
  • A high level of organization, attention to detail, and the ability to manage multiple projects simultaneously.
  • Competency in handling post-event metrics reporting, event debriefings, and financial reconciliations.
