Kinsale Contracting Group, located in Westmont specializes in interior demolition and environmental remediation projects. Kinsale is trusted by clients to take on the most challenging interior demolition projects, including those that include environmental hazards.

The Accounts Receivable and Collections Administrator position is part of the accounting team.

Primary Duties and Responsibilities

  • Maintains accurate schedule for job billings and works with Project Managers to determine the progress billing monthly for Client approved billings. Prepares and sends invoices in Word/Excel to customer.
  • Prepares time and material customer billings using field tickets.
  • Report weekly to the Project Manager's and management on collections status and progress.
  • Log incoming payments, prepare and make bank deposits.
  • Complete all client waiver requests, prepare and send Notice of Intents and works with management to prepare Lien filings when necessary.
  • Using company templates and handwritten proposals from Estimators, this position types (in MS Word), formal Project Bid proposals and Change Orders for review and approval by the Estimators/project Managers.
  • Backup for incoming phone call answers, applicant reception and other office duties.
  • Understand other office work and be capable to fill in when needed and provide back up when workload demands it.

Knowledge, Skills, and Abilities

  • Education: Postsecondary education in bookkeeping or accounting is helpful and preferred but not required.
  • Work Experience: 3+ years’ experience in billing and collections is required; experience in the construction industry is highly preferred.
    Excellent organizational skills.
  • Excellent telephone skills are essential to deal with customers, esp. in collections tasks.
  • Proficiency in common MS Office applications including Word and Excel.
  • Proficiency in Quickbooks
  • Have the ability to adhere to the company’s methods and procedures for the tasks to be performed and have the ability to use sound judgment and decision making.
  • This position will drive to local bank branches to make regular bank deposits so a valid driver’s license, valid car insurance and own dependable vehicle is required (company reimburses employee for business miles driven in personal vehicle).
