Introduction

Growing company seeks a detail-oriented operations specialist to serve as a key member of the operations team, supporting and facilitating field operations. You will report to the Operations Manager. This is a fully remote position.

Job purpose

The Operations Specialist completes tasks that help set up projects for success by providing field operations staff with needed travel, training, site access and supplies. These critical functions help ensure projects run smoothly. The incumbent will provide needed administrative support primarily in finance and vendor interactions.

Duties:

  • Book travel arrangements, including flights, hotels, ground transportation
  • Ensuring site access for team members at various refineries around the country
  • Scheduling ongoing training for team members
  • Expense reporting
  • Coordinating shipments and shipping logistics
  • Ordering supplies to support projects and personnel
  • Work a Tuesday through Saturday schedule
  • Coordinate gifts during the holiday season and major events
  • Interacting with major vendors
  • Supporting the Operations Manager as needed
  • Work at least 25 hours a week (schedule will be full- or part-time depending on candidate)

Other qualifications:

  • Proficient with Microsoft Office, especially Word, Excel and PowerPoint
  • Proficient with Adobe Acrobat DC (full version)

Experience preferred:

  • 2 to 5 years as office assistant, executive assistant or similar capacity
  • Experience working fully remote and managing workload
  • Project management experience
  • Experience executing against standard operating procedures

Nice-to-haves but not required:

  • Familiarity with project management processes
  • Familiarity with Smartsheet

Compensation

Salary range $23 - $27 per hour

Benefits:

  • Medical Insurance (for employees working more than 32 hours per week)
  • 3% 401(k) contribution (regardless of employee contribution)
