Position Overview: As a Dispatcher Assistant, you will play a vital role in ensuring the smooth and efficient functioning of the operations department within our organization. You will be responsible for overseeing various administrative tasks, coordinating operations, and supporting the team to deliver high-quality roofing services to our clients. This position requires excellent organizational skills, attention to detail, and the ability to work in a fast-paced environment. Benefits available after probationary period.
Key Responsibilities:
- Administrative Support:
- Handle phone calls, emails, and inquiries from clients, suppliers, and team members.
- Prepare reports, presentations, and correspondence as required.
- Assist with running payroll and coordinating with accounting accordingly.
- Project Coordination:
- Assist in scheduling roofing projects and coordinating resources.
- Communicate project requirements, timelines, and changes to the roofing team.
- Collaborate with suppliers and vendors to ensure timely delivery of materials and equipment.
- Track project progress on developments.
- Team Support:
- Provide administrative support to the team, including scheduling meetings, and managing expenses.
- Foster a positive and collaborative work environment by supporting team members and addressing any concerns or issues promptly.
- Assist in training new team members on administrative processes and procedures.
- Inventory Management:
- Monitor inventory levels of roofing materials and supplies.
- Coordinate with suppliers to replenish stock as needed.
- Conduct periodic inventory audits to ensure accuracy and efficiency.
Skills
- Proven customer support experience or experience as a client service representative
- Strong phone contact handling skills and active listening
- Customer orientation and ability to adapt/respond to different types of characters
- Excellent communication and presentation skills
- Bilingual
- Ability to multi-task, prioritize, and manage time effectively
- Previous Dispatch experience a plus
- Construction Industry Knowledge or Roofing knowledge preferred
