Service Administrator’s Work Duties 

 

Answer phones 

Assist walk-in customers 

Check company email daily and distribute 

Reminder post cards-use report AR prints with address labels 

 

Service tickets- 

  • Pull money off tickets daily 

  • Print daily swipe simple reports 

  • Match tickets to swipe simple reports 

  • Enter notes into FACS – to be done daily 

  • Cost parts on tickets – to be done daily 

  • Enter time for each technician- to be done daily 

  • Check edits for technician’s time entered and make changes 

  • Put tickets in numerical order 

  • Print and mail invoices 

  • File tickets 

  • Make copies of technicians’ time sheets & keep stocked on bookcase in hall 

  • Put address labels on service tickets; distribute to technicians as needed 

 

Customer Maintenance Agreement 

  • Run agreement credit card payments 

  • Apply payments 

  • Enter new install agreements 

  • Enter and file agreements weekly 

  • Calculate commissions for the last payroll of each month 

  • Make copies for commissions and calculate commissions for the last payroll of the month 

  • Prepare monthly renewals and mail  

  • Make any corrections or changes to agreements when needed 

 

Parts Warranties 

  • File for credits for parts used for a repair that is under warranty. 

  • Files labor warranties for repairs made that have a labor warranty. 

  • Match credits with packets. 

  • Follow up with vendors that owe a credit.
