Position: Accounts Receivable, Accounts Payable & Payroll Specialist

Are you an experienced accounting professional looking for a new challenge? We are seeking a dedicated specialist to manage our accounting activities, including Accounts Payable, Accounts Receivable, and Payroll.

Key Responsibilities:

Accounts Receivable:

  • Create, edit, and send invoices to customers
  • Collect and process customer payments, including credit card processing and daily check deposits
  • Verify invoices, maintain accounting files, submit sales reports, and match purchase orders

Accounts Payable:

  • Complete payments, process vendor invoices, and verify purchases
  • Maintain accounting files and submit reports for check runs

Payroll:

  • Run weekly, monthly, and quarterly payroll reports
  • Verify and run payroll checks through ADP
  • Handle incoming calls, data entry, filing, and customer interactions regarding orders and invoices

Qualifications:

  • Organized, punctual, consistent, and reliable self-starter
  • 3 years of experience in accounts payable, receivable, general ledger, payroll, and payroll reports
  • Proficiency in Sage / Peachtree or similar accounting software (QuickBooks experience is a plus)
  • Experience with the Board of Equalization and state taxes
  • Advanced Microsoft Excel skills
  • Excellent written and verbal communication skills with attention to detail
  • Knowledge of GAAP and payroll processing (ADP experience preferred)
  • Ability to prioritize and multi-task effectively

Additional Duties:

  • Analyze customer payment plans and credit lines
  • Collect payments according to due dates and make collection calls
  • Submit delinquent accounts for collection
  • Respond to customer inquiries and resolve issues
  • Generate financial statements and A/R reports
  • Perform clerical functions like billing, estimates, and monthly statements
  • Handle treasury functions like bank deposits, manual wire payments, and credit card transactions
  • Comply with federal, state, and company policies and procedures
  • Coordinate bank deposits and report financial results to management
  • Monitor office expenses and enter cash receipts
