Administrative Coordinator

The ideal candidate will be responsible for administrative operations and ensure efficiency in daily activities in this rewarding and flexible part-time position (10-20 hours/week).
Responsibilities:
- Provide administrative support to staff.
- Respond to incoming emails and requests.
- Draft and edit communications (e.g., newsletter, social media posts).
- Schedule meetings and assemble necessary materials.
- Review documents (e.g., fact checking, consistency, grammar, readability).
- Input and maintain databases and spreadsheets (digital filing system).
- Use Google, Microsoft, Adobe, and available tools to create and/or edit documents (e.g. grant applications, marketing materials, presentations).
- Serve as administrative backup for programming leads.
- Research information, compile, and summarize it.
- Gather and organize timesheets for the Finance Manager as necessary.
- Assist with sales and marketing efforts.
- Assist in completing grant reporting requirements and ensure deadlines are met.
- Present a positive and professional image for the organization.
- Attend onsite meetings and events when/if necessary (must be a Minnesota resident).
Qualifications/Requirements:
- Proven experience in a similar role or functional responsibilities.
- At least 3-5 years of professional experience or college graduate.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Forms, Contacts).
- Knowledge of bookkeeping and budget management or ability to learn quickly.
- Strong organizational and time management skills.
- Excellent verbal and written communication.
- Advanced English proficiency; bilingual a plus.
- Access to a secure desktop computer or laptop (required for position).
- Ability to multitask and prioritize tasks effectively.
- Takes initiative to problem-solve and streamline procedures.
- Ability to work independently and in a team environment.
- High School graduate (or equivalent). Higher education and/or certifications a plus.
- Interest in organization, arts and/or education . Strong references a plus.
