General Summary of Duties: Responsible for personnel management and oversight of clinic operations. Responsible for the enforcement of clinic policies and procedures. Responsible for managing the daily operations of the office.

Supervisor: Executive Director

Supervisory Responsibilities: Office Personnel

Major Responsibilities/Tasks:

  • Oversees daily office operations. Identifies and resolves operational problems.
  • Oversees scheduling of employees
  • Oversees to ensure clean working environment
  • Oversees office equipment and ensures working properly
  • Oversees ordering of supplies
  • Oversight of completed patient demographics and documents
  • Participates in professional development efforts to ensure currency in health care practices and trends.
  • Performs other related duties as directed or required.
  • Maintains patient confidentiality.
  • Oversight of marketing ensuring the pamphlets and brochures are distributed to patients
  • Provides coverage to front office as well as triage patients as needed.
  • Manage staff issues such as handling call outs
  • Conduct performance Reviews
  • Performs work as needed including venipuncture and triage

EDUCATION:

  1. Bachelor’s Degree a plus
  2. Associates degree with management experience

EXPERIENCE: Minimum of five years medical office management,

Performance Requirements:

Knowledge:

  • Knowledge of clinic policies and procedures.
  • Knowledge of medical terminology and insurance practices.
  • Knowledge of computer programs and applications.
  • Knowledge of grammar, spelling and punctuation to communicate in written format.
  • Knowledge of CPT and ICD-10 coding.
  • Knowledge of managed care, Medicare, and Medicaid guidelines.
  • Knowledge of HIPAA and Compliance

Skills:

  • Skill in effective personnel management including training staff and delegating duties
  • Skill in trouble-shooting patient problems
  • Skill in maximizing patient collections
  • Skill in written and verbal communication

Abilities:

  • Ability to work effectively as a team member with physicians and other staff.
  • Ability to flexibly respond to changing demands
  • Ability to plan, organize, prioritize and direct the work of others
  • Ability to sort and file materials correctly by alphabetic or numeric systems
  • Ability to interpret and understand insurance benefits and collect appropriate payment from patients
  • Ability to communicate clearly and concisely
  • Ability to establish and maintain effective working relationships with patients, employees, and the public

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Work Environment: Work requires hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands, or sitting for extended periods of time. Occasionally lifting files or paper weighing up to 20 pounds. Occasionally work environment may be very stressful.

Mental/Physical Requirements: Normal office environment. May view computer screens for long periods of time. Occasional evening or weekend work.

WORK SCHEDULE

  • Monday through Friday 8:30-5:00pm; additional hours as needed on weekends 9am to 5pm and evenings until 7pm
