Summary:

NRHA seeks a highly qualified Senior Executive Assistant to perform complex, specialized, and sensitive administrative, secretarial, and clerical support services for the Executive Director and chief division officers. This role serves as the primary point of contact and communication for internal and external parties on behalf of the Executive Director and acts as an administrative liaison to the NRHA Board of Commissioners.

Key Responsibilities:

  • Serve as the primary point of contact for internal and external communications on behalf of the Executive Director.
  • Act as an administrative liaison to the NRHA Board of Commissioners, managing contact information, meeting agendas, public announcements, and minutes.
  • Maintain the Executive Director’s calendar, arranging appointments, conferences, and events.
  • Support the Executive Director in day-to-day executive activities and special projects.
  • Prepare, administer, and monitor the department budget.
  • Respond to telephone calls, emails, correspondence, and office visits on behalf of the Executive Director and chief officers.
  • Proofread and edit documents to ensure correct spelling and grammar.
  • Arrange travel and hotel accommodations for chief officers and Commissioners.
  • Establish and maintain a secure and confidential document filing system.
  • Perform routine office expenditure accounting procedures.
  • Perform a broad range of administrative detail work, including scheduling and coordinating business meetings and ordering office supplies.

Qualifications:

  • Post-secondary education and training in administrative, secretarial, and clerical work functions.
  • Six to eight years of progressively responsible administrative, secretarial, and clerical experience, including at least six years in a related public-sector agency.
  • Comprehensive knowledge of NRHA organization, projects, programs, policies, and practices.
  • Proficiency in standard business English and basic accounting and bookkeeping principles.
  • Operational knowledge of office equipment and software, including word processing, spreadsheet, presentation, and electronic communications software.
  • Strong typing, shorthand, and human relations skills, especially in communication.
  • Ability to understand and carry out complex oral and written instructions.
  • High level of integrity, judgment, and discretion in handling confidential information.
  • Ability to exercise independent judgment and initiative in executing complex administrative processes.

Physical Demands/Work Environment:

  • Frequently required to sit, talk, see, or hear.
  • Occasionally required to stand and walk.
  • Must occasionally lift and/or move up to 20 pounds.
  • Job requires depth perception.
