Job Overview:

The Virtual Executive Assistant provides high-level administrative support to the executive team while managing customer interactions and technical issues. This role demands exceptional organizational skills, multitasking ability, and a strong customer service focus. The ideal candidate will excel in handling a variety of responsibilities, from executive support and project coordination to customer service and digital marketing, all while working remotely.

Key Responsibilities:

Administrative Support:

  • Manage executive schedules, including meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, presentations, and other documents.
  • Handle incoming communications such as emails and calls, ensuring timely and professional responses.

Customer Support:

  • Handle customer inquiries professionally and efficiently.
  • Provide accurate information about products and services.
  • Troubleshoot and resolve product issues and concerns.
  • Document and update customer records based on interactions.
  • Develop and maintain a knowledge base of evolving products and services.

Project Management & Coordination:

  • Assist in the planning and execution of special projects and initiatives.
  • Coordinate various projects, ensuring deadlines are met and deliverables are of high quality.
  • Manage onboarding processes for new clients.

Digital Marketing & Social Media:

  • Oversee social media marketing campaigns, including content creation and engagement.
  • Manage website content and updates.
  • Launch and manage online courses, including participant registration, video editing, and certificate distribution.

Course & Event Management:

  • Create and distribute advertising materials, such as brochures and email campaigns.
  • Coordinate course registration, attendance tracking, and reporting.
  • Load courses onto online management platforms.
  • Manage continuing education unit applications.

Reporting & Documentation:

  • Prepare reports on project progress, customer interactions, and other key metrics.
  • Maintain accurate and organized records for all activities and communications.

Qualifications:

  • Education:
    • Bachelor’s degree in Business Administration, Education, Communications, or related field preferred.
  • Experience:
    • 3-5 years of experience as an Executive Assistant, Assistant, Customer Service Representative, or similar role.
    • Experience managing complex calendars, travel arrangements, and customer relations.
  • Skills:
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite, project management software, and social media platforms.
    • Ability to prioritize, multitask, and manage time effectively.
    • High level of discretion and confidentiality.
    • Ability to troubleshoot technical issues and provide customer support.
  • Attributes:
    • Proactive, resourceful, and detail-oriented.
    • Positive and professional demeanor.
    • Ability to work independently and remotely, with strong self-management skills.
