The Paterson Alliance is seeking a parttime Chief Administrative Officer to oversee key operational processes.

The chief administrative officer oversees day-to-day activities and leads the financial and fund development operations. You will report directly to the Paterson Alliance Board of Directors (Board).

You will ensure that monthly banking and financial reporting is reviewed and delivered to the Board Finance Committee, the annual audit and tax returns are completed timely, and that budgets are prepared.

You will support the Program Manager in maintaining current funding streams; and will seek new funding opportunities. You will be a mentor for the Program Manager, as she grows toward the Executive Director role.

Success in this role will be demonstrated by helping the Paterson Alliance penetrate unexplored funding sources, ensure sustainability, and providing guidance for the Program Manager and Office Manager (the team.)

You will coordinate regularly with the Board and the team.

Chief Administrative Officer Job Responsibilities and Duties

  • Oversee financial activities and ensure smooth operations
  • Foster a healthy and inclusive work environment
  • Oversee fund development and grant writing
  • Collaborate on strategic planning with the Board and the team
  • Provide mentorship to team
  • Other tasks as necessary

Chief Administrative Officer Skills and Qualifications

  • Minimum 10 years of extensive administrative and senior leadership experience
  • Knowledge of nonprofit management and fundraising
  • Knowledge of fiscal planning, reporting, and budgeting

·       Proficiency in Quick Books, Word, Excel and PowerPoint

  • Outstanding written and verbal communication skills
  • Strong interpersonal, organizational, and decision-making skills

·       Effective collaboration and teamwork skills

·       Current knowledge and practice of ethics

·       Successful problem-solving tactics

  • Bachelor’s degree in business administration or related field; MBA a plus

Chief Administrative Officer Detailed Tasks

Finance – Coordinate with Office Manager:

·      Draft Monthly financials and review with Finance Committee:

o   Reconcile bank accounts; prepare accounts receivable, balance sheet, profit & loss, budget reports

·      Prepare workpapers for annual audit, 990, NJ and local taxes

·      Review Insurance policies annually

Board

·      Plan bi-monthly Board meetings (agenda, venue, invitations, minutes)

·      Annually update Board commitment letters, demographics, code of conduct

·      Governance Committee - plan meetings with Committee Chair

·      Fund Development Committee - plan meetings with Committee Chair

Fund Development

·      Assist team to plan Extra Mile Awards luncheon

·      Provide team support for current Program grants

·      Annual Report/ Year-end Campaign

Employment

·      This is a parttime position, approximately 4 hours per day

·      Salary $35 - $45 per hour for 20 hours a week, commensurate with skills

·      Start date: May 1, 2024, negotiable
