We are looking for a responsible Administrative Assistant to join our team Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls; take detailed messages
- Organize sample area, maintain an inventory log, and update accordingly
- Assisting the owners and each department with office needs as necessary
- Organize office luncheons
- Assist salespeople during meetings with clients offering coffee, arranging samples, print outs and related
- Office related errands, including but not limited to food pick-up for meetings, mailing via FedEx, UPS, USPS, or DHL, occasional interoffice transfers
- Develop and maintain a filing system
- Managing incoming and outgoing mail (USPS, FedEx, DHL)
- Order office supplies while keeping inventory
- Provide general support to visitors
- Produce and distribute correspondence, memos/letters/forms
- Remind and collect timesheets of all employees in the showroom and send to HR to process payroll
- Ensures office safety and upkeep by communicating with building’s maintenance and management; relates pertinent safety information or building issues to employees, such as, hurricane preparedness. Communicates with the building’s maintenance person about any building issues that need to be dealt with, e.g., water leaks.
- In charge of holiday décor and supplies
- Reports to accounting and administration expenses made and keeps log.
Skills
- Proven experience as an administrative assistant or office admin assistant
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree: additional qualification as an administrative assistant or receptionist will be a plus
Qualifications
- Fluent in English and Spanish required.
- Fluent in use of Word required.
- Fluent in use of Excel required.
- Technology savvy required.
- Ability to work Monday-Friday from 9-6pm required.
- Ability to work Saturdays required.
- Ability to work without cell phone in site required.
- Ability to multi-task required.
- Self-starter required.
- High school level mathematics required.
- Marketing experience preferred.
- Customer service training and experience preferred.
- Accounting experience preferred.
- Associates degree or higher preferred.
