Job Duties:

Ongoing evaluation of policies and procedure. Ensures classification and salary practices are consistent with company policy.

Answering and forwarding phone calls to appropriate staff member. This includes screening phone calls, taking and relaying messages, office announcements in a friendly and cordial manner.

Maintains telecommunication system and phone console. Training new employee with the phone system.

Meet and greet clients and visitors, notifies company personnel of visitor arrival.

Make lunch arrangement (order, pick up…….etc.) for office guest if needed.

Maintain guest sign in sheet, please fill out the sheet. File the sign in sheet monthly.

Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.

Maintain attendance record. Keep track employee attendance. Hard copy and electronic filing system for employee absence request.

Coordinate mail flow in and out of office. Sort, and distribute incoming correspondence, Sign for and distribute UPS/Fed Ex/Airborne packages.

Maintains office, kitchen, factory and lavatory supplies inventory by checking stock weekly to determine inventory level; anticipating needed supplies; evaluating new office products and equipment; provide supplies needed list to operation for purchase ; verifying receipt of supplies.

Coordinate office activities.

Maintain records for staff directory and assigned parking space.

Maintain office equipment (copier, postage machine…. Etc.), including order supplies (toner cartridges), communication with vendors if needed (provide meter read info to vendor when requested).

Keeping the office, lunch room and reception area tidy, water the plants, and make coffee.

Open and close the gate that leads to the back dock area daily.

Coordinate Lab Coat Services, checking the lab coat quantities when arrived and departed. Ensure billing accuracy. (May involve delivery and pickup from cleaners)

Assist in production projects.

Coordinate shareholder mailing materials.

Other duties as assigned, support staff in assigned project-based work.

 

Knowledge, Skills & Abilities:

Excellent verbal and written communication skills

Ability to present self and company in a professional manner

Time management skills are required

Proficiency in a Personal Computer, Fax, and Photocopier required

Interpersonal skills and customer service skills required

Excellent phone etiquette required

Excellent organizational and prioritizing skills

Proficiency in a Personal Computer, Fax, and Photocopier required
