AVP, Deposit Operations Manager

General Summary

Under the direction of the Director, Deposit Operations, this position is responsible for providing leadership and direction to department employees including staff development, motivation, and training. This position is responsible for day-to-day operations of the Deposit Operations department and supervisory responsibilities in accordance with CCU’s policies and procedures. Responsibilities include interviewing, hiring, planning, assigning, and directing work, appraising performance, rewarding and disciplining employees, addressing complaints, handling complex member deposit account transactions, providing support to member facing staff, and resolving problems. Manages vendor relationships related to Deposit Operations functions and develops processes to comply with applicable regulations and achieve high efficiency. Provide support to plan, test, maintain and execute departments Business Continuity Plan. Assist with providing documentation and data required for internal and external regulatory audits. Ensures staff provide exceptional member service to both internal customers and Credit Union members.

Responsibilities

Essential Duties

Assumes responsibility under the direction or absence of the Director, Deposit Operations. Provides leadership and direction to department employees in addition to staff development, motivation, and training. Ensures compliance with regulatory rules and CCU policies and procedures. Plans and conducting department meetings. Develops new processes, procedures, and manages vendor relationships.

  • Schedules, evaluates, trains, supervises, and directs department personnel. Promotes positive attitudes and cooperation among employees.
  • Plans, motivates and develops a competent, high-performing staff to ensure maximum efficiency in daily operations and effective member relations. Schedules staff to ensure proper coverage for tasks and phone support.
  • Defines appropriate limitations of authority ensuring strong understanding of credit union policies and procedures.
  • Assigns and performs quality control of department and assigned corporate tasks.
  • Monitors completion of department report reviews.
  • Writes department and corporate procedures related to Deposit Operations.
  • Oversees loss prevention procedures.
  • Monitors adherence to deposit account and check collection regulatory rules and CCU policies and procedures. Modifies procedures accordingly.
  • In conjunction with Compliance and the Director, Deposit Operations, monitors Fiduciary and Death Claim settlement regulatory rules. Modifies procedures accordingly.
  • Works with the Director, Deposit Operations to fulfil required IRA/HSA regulatory notices and changes to regulatory rules. Modifies procedures accordingly.
  • Ensures check processing deadlines are met daily.
  • Coordinates and performs system upgrade testing of existing and new features of the Core processing system, DNA.
  • Works with the Director, Deposit Operations, to manage vendor outsourced processes to complete escheat reporting and IRA/HSA processing.
  • Works with the Director, Deposit Operations, to manage statement vendor setup of new or changing notices or account statements. Works with IT and vendor to assure eStatement/Paper delivery methods are accurate.
  • Manages eLevy processing changes with the Franchise Tax Board and Federal/State Child Support Agencies.
  • Manages Medicare / Medicaid balance validation processing changes and manual response requests.
  • Performs yearend validation and tax reporting for deposit interest, IRAs, HSAs, and ESAs.
  • Prepares monthly department reports.
  • Stays current on all relevant laws and regulations. Works with compliance to implement new and changing rules and regulations.
  • Participates in special projects.
  • Prepares monthly department trend and performance reports.
  • Performs department tasks as needed.

Assumes responsibility for ensuring that department employees provide exceptional member service.

  • Ensures exceptional member service is delivered in a prompt, professional, courteous manner with the highest level of integrity in accordance with established Credit Union policy and standard.
  • Addresses and resolves member concerns and inquiries in accordance to established guidelines and ensure that members are appropriately and accurately informed and serviced.
  • Ensures Credit Union’s professional reputation, image and standard of service excellence is represented and maintained at all times.

Performs other duties as assigned.

In-depth dialogues, conversations and explanations with members, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Excellent attention to detail, analysis, refined problem-solving skills, teamwork, organization, time management, and member/customer service. Must possess a strong appetite to drive process efficiency.

Excellent PC and computer skills to be able to operate applicable software, applications, and programs including Excel, Word, and Microsoft Office Suite or equivalent.

Education/Certifications:

College degree or four years supervisory/management experience in deposit account operations.

Experience:

Minimum five years of similar or related experience.

Knowledge of Individual Retirement Accounts (IRA) and Health Savings Accounts (HSA) regulations.

Supervisory experience required.
